Fairhaven Mill is a small, community-driven business in the Skagit Valley producing certified organic flours and grains for artisan bakers, restaurants, and home bakers across the Pacific Northwest. Position Overview
We are looking for a detail-oriented, proactive individual to help keep our mill running smoothly in both the front office and in B2B customer relations. This role combines office administration, sales support, and food safety documentation, and is ideal for someone who enjoys variety in their workday and being part of a collaborative small team.
You will serve as a key point of contact for wholesale customers, assist with internal systems and recordkeeping, and help maintain compliance with our food safety program.
Key Responsibilities
Sales & Customer Service
- Serve as the main contact for wholesale and retail customer inquiries
- Process orders, invoices, and payments in Shopify and QuickBooks
- Build and maintain relationships with bakeries, retailers, and distributors
- Provide product information and support for B2B accounts
- Assist with marketing and communication tasks such as email outreach or price sheets
Office Administration
- Manage daily administrative tasks including phone, email, and filing
- Maintain organized records for vendors, customers, and compliance documentation
- Support shipping coordination and inventory tracking alongside the mill team
- Assist with creating and improving standard operating procedures (SOPs)
Production Management System & Inventory
- Enter and update information in our Production Management System
- Track product inventory, order fulfillment, and material usage
- Collaborate with production staff to ensure accurate reporting and scheduling
- Help identify and streamline system improvements to increase efficiency
Food Safety & Compliance
- Maintain food safety logs, records, and required documentation
- Ensure procedures align with Fairhaven Mill’s food safety program and certifications
- Prepare and organize materials for audits and inspections
- Work with the operations team to uphold consistent quality standards
Qualifications
- Experience in office administration, sales support, or customer service (food industry experience preferred)
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficient with Microsoft Office, QuickBooks, Shopify, and inventory or production management software
- Interest in local food systems, sustainability, or artisan baking is a plus
Pay: From $22.00 per hour
