JOB TITLE: Marketing Media Coordinator
DEPARTMENT: Advancement & Marketing
REPORTS TO: Senior Digital Engagement Specialist
PURPOSE OF POSITION:
Manage the strategic scheduling, production coordination, and delivery of the university's communications across social media, digital and print advertising, digital displays, and CRM platforms. Serve as a central coordination point for media placements, content calendars, and advertising partnerships to ensure consistent messaging, prevent audience fatigue, and maximize the reach and impact of Dordt University's marketing initiatives across multiple channels.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Develop and maintain the publishing calendar for the university's primary social media accounts, scheduling posts across platforms and writing captions that align with institutional brand voice and messaging priorities.
- Coordinate advertising placements with newspapers, magazines, and other external media partners, including gathering specifications, confirming insertion dates, and tracking placements through publication.
- Serve as a primary contact for the university's digital advertising partners, managing the handoff of creative assets and ensuring materials meet campaign specifications and deadlines.
- Schedule creative for electronic billboard placements, coordinating run dates with campaign timelines and monitoring for accurate display.
- Build and maintain content schedules for digital display screens across campus, collecting submissions from campus partners and sequencing content to balance departmental requests with institutional priorities.
- Monitor outbound communications in the university's CRM (Slate) to manage overall send volume and cadence, identifying scheduling conflicts and working with campus partners to redistribute mailings so recipients are not oversaturated.
- Maintain detailed records of all media placements, publication dates, and advertising spend across channels, providing reporting to support campaign analysis and budget accountability.
- Collaborate with the creative department to ensure advertising creative assets are formatted correctly for each placement channel and meet partner requirements.
- Respond to requests from campus departments for urgent or quick-turnaround media placements, coordinating with external partners and the marketing team to accommodate time-sensitive campaigns.
- Other duties as assigned.

- Understanding of media buying, advertising placement, and digital marketing best practices.

- Associates degree or equivalent relevant professional experience in marketing, communications, or media coordination.
