KEY OBJECTIVE:
Lead expert for Netsmart EHR suite at Prairie View CCBHC to optimize clinical workflows, maintain data integrity, provide technical configuration and corrections, and deliver ongoing training and support.
POSITION RESPONSIBILITIES
Core Responsibilities
- Workflow analysis & optimization
- Map existing clinical and administrative workflows; identify inefficiencies and risks.
- Design and test optimized workflows in MyAvatar Nx and related modules to improve throughout and documentation quality.
- System configuration, build & maintenance
- Partner with clinical leads to translate best practices into system configuration.
- Create, update, and retire templates, forms, order sets, smart texts, flowsheets, and clinical pathways.
- Maintain user profiles, and permissions.
- Implement and validate clinical decision support, alerts, and validation rules.
- Work with Data team to ensure quality, troubleshooting & corrections
- Investigate and correct documentation/back-end data issues working closely with Senior Application Analyst and Clinical Systems Officer.
- Manage interfaces between MyAvatar Nx and MyHealthPointe, Bells AI, Scribe, and our other Netsmart products.
- Validate message exchanges, mappings, and reconciliation processes.
Training & Education
- Develop role-specific curricula: new hire on-boarding, refreshers, updates after builds/releases.
- Deliver live training, recorded modules, job aids, quick reference guides, and tip sheets.
- Train super-users and lead “train-the-trainer” sessions.
- Scope, coordinate, and test build requests and enhancements; manage change tickets and prioritization.
- Participate in vendor updates, patches, and product roadmap planning.
Reporting, analytics & compliance
- End-user support & governance
- Provide tier-2 support for complex issues; escalate to Netsmart when required.
- Monitor system usage metrics; propose iterative changes to increase adoption and reduce documentation burden.
- Stay current on Netsmart feature updates and behavioral health EHR best practices.
MyAvatar Nx
- Train and educate new and existing staff to current workflows, form usage, and clinical processes for client service delivery.
MyHealthPointe
- Configure patient portal settings, access levels, consent workflows, and registration flows to support engagement and telehealth.
- Ensure portal data syncs correctly with MyAvatar Nx (demographics, appointments, messages, shared documents).
- Train staff on portal workflows (enrollment, troubleshooting, message triage) and create patient-facing instructions.
- Monitor portal adoption metrics and resolve synchronization or access issues.
Bells AI/ Scribe
- Monitor performance metrics, false-positive/negative rates, and report issues to vendor for retraining.
- Provide training on appropriate use, editing AI outputs, and privacy/security considerations.
Scribe
- Manage user access and workflows for scribe-assisted encounters; ensure proper attribution and documentation standards.
- Monitor quality of scribed notes; implement QA processes and corrective training.
- Coordinate integration of Scribe outputs into MyAvatar Nx patient records and billing workflows.
MINIMUM QUALIFICATIONS
- Minimum Education: Associate's degree in Health Information Management, Healthcare Administration, Information Technology, Business Administration, or related field preferred.
- Minimum of two (2) years of experience working with an Electronic Health Record (EHR) system in a healthcare setting.
PREFERRED QUALIFICATIONS
- Bachelor's degree in Health Information Management, Information Systems, Healthcare Administration, Business Administration, or a related field.
- Experience with MyAvatar Nx and NetSmart preferred.
- Experience serving as an EHR super-user, trainer, administrator, or implementation team member.
- Experience supporting behavioral health, community mental health, or healthcare operations preferred.
- Working knowledge of healthcare documentation requirements, workflows, and regulatory standards, including HIPAA, Medicaid, Medicare, state reporting requirements, and accreditation standards.
- Experience developing training materials, job aids, and workflow documentation, preferred.
- Project management or system implementation experience, preferred.
- Proficient in Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
- Strong data entry, data analysis, and reporting skills.
- Demonstrated ability to learn and support software applications and system functionality.
- Excellent organizational skills with strong attention to detail and accuracy.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing organizational needs.
- Effective written and verbal communication skills with the ability to train and support staff at all levels.
- Ability to maintain confidentiality and handle sensitive information in accordance with HIPAA requirements.
