This role provides the highest-level administrative support to the System Executive Team (E-team) Leader. Serves as a liaison between the System E-Team Leader and both internal and external constituents with a high level of professionalism. As a trusted business partner, handles administrative duties to enhance the System Executive Team Leader’s work environment and productivity.

Required - High school diploma or equivalent or business school training
Preferred - Associate degree or bachelor’s degree in related field
WORK EXPERIENCE
Required - 5 years of experience in a professional administrative role supporting a C-suite executive level leader
KNOWLEDGE SKILLS AND ABILITIES (KSAs)
- Strong organizational skills, managing a variety of tasks at once with frequent interruptions and minimal supervision.
- Ability to work with and maintain highly confidential information.
- Ability to function well in a fast-paced environment.
- Ability to anticipate the needs and preferences of the System Executive Leader.
- Professional demeanor and strong interpersonal skills.
- Must have advanced computer and software skills and dexterity required for data entry, retrieval of information, and troubleshooting.
- Excellent verbal and written communication skills and the ability to present information clearly and professionally.
- Must be proficient with Windows-style applications, various software packages specific to the role.
- Must be highly organized and able to work in an independent environment.
- Must have sound judgement skills and the ability to make quick decisions.
- Must have integrity and a well-developed sense of discretion.
JOB DUTIES
- Handles day-to-day administrative tasks to save the System E-team Leader time and ensure productivity and efficiency in the C-suite office.
- Manages System E-team Leader’s calendar, making appropriate decisions regarding priorities, to strategically organize meetings, events, and tasks for time optimization and availability.
- Acts as a collaborative partner to the System E-team Leader by keeping them well informed of upcoming commitments and responsibilities.
- Understands System E-team Leader’s high-level goals to ensure priority meetings pertaining to goals are scheduled with leader’s direct reports and key internal and external stakeholders, as needed.
- Manages highly complex, confidential, and sensitive matters with discretion.
- Assists with meeting and presentation preparation through organizing and editing PowerPoint decks and other meeting materials.
- Develops and distributes meeting agendas and materials for all meetings owned by the System Executive Leader.
- Maintains expense records and processes all expenses in a timely manner.
- Arranges travel and accommodations for the System E-team Leader.
- Manage special projects for the System Executive leader, including but not limited to event management support as requested.
- Serves as a first point of contact for inquiries directed to the System E-team Leader.
- Provides hospitality to all guests and help create a welcoming environment.
- Performs other related duties as assigned.
