Executive Assistant I

Summary:
The Executive Assistant I works under the direction of one or more Senior Executive leaders (the Post Acute Care Division COO and the PAC Senior Director) and is responsible for providing administrative and operational support essential to the mission of the organization and the day-to-day operation of an executive office. Key to the role is the ability to work effectively with all levels of management, consultants, contractors and the public.
Responsibilities:
- Provides administrative support directly to the assigned Senior Executive leader(s), exercising confidentiality, tact, and diplomacy.
- Uses business software applications (word processing, presentation, and spreadsheet) to prepare complex correspondence, reports, presentations, agendas, minutes, etc.
- Receives, screens, and directs incoming calls, visitors, mail, and email. Prepares responses to routine correspondence and inquiries as requested. Maintains files, records, and calendars.
- Arranges business travel, coordinates meeting arrangements, tracks expenses, and/or supports budget process.
- Mentors/leads other administrative staff as assigned.
- Coordinates significant events for the organization. Provides support for high level projects including data collection, analysis and reporting as assigned.
- Participates in the development and implementation of administrative standards, policies and practices as appropriate.
- Mentors/leads other administrative personnel if assigned.
Required Minimum Knowledge, Skills, and Abilities (KSAs)
- Education: High School diploma or GED preferred.
- License/Certifications: N/A
- Experience: Five years of experience in an administrative support role required. Two years of executive level support preferred.
- Additional Skills/Requirements Required: Advanced Microsoft Office skills.
- Additional Skills/Requirements Preferred: Knowledge of Medical terminology.
