INTRODUCTION
We are seeking a detail-oriented Project Assistant with strong writing, editing, and communication skills to support our geotechnical engineering team. In this role, you will play a key part in shaping client deliverables—ensuring reports, proposals, and technical communications are clear, consistent, and professionally presented. This position is ideal for candidates with an English, communications, or related background who are interested in applying their skills in a technical environment.
ROLE AND RESPONSIBILITIES
Technical Writing & Document Development
- Draft, edit, and format geotechnical reports, proposals, and client deliverables for clarity, consistency, and quality
- Prepare report sections, figures, and attachments using input from technical staff
- Review documents for grammar, tone, and adherence to company standards
- Help translate technical information into clear, client-friendly language
Project Communications & Coordination
- Support project teams in developing client communications, including emails, updates, and deliverable summaries
- Track project milestones and assist in communicating schedules and deadlines to internal teams
- Coordinate with project managers to ensure deliverables are issued accurately and on time
Document Control & Quality Assurance
- Maintain organized project documentation, including contracts, reports, and correspondence
- Ensure all deliverables meet internal quality standards and client requirements
- Manage version control and formatting consistency across project documents
Project Support & Tracking
- Assist with maintaining project information such as schedules, budgets, and deliverable dates in internal systems
- Support proposal preparation, including editing, formatting, and assembling submission packages
- Coordinate with project teams and accounting staff to support invoicing, change orders, and project tracking
Team & Operations Support
- Provide general administrative and coordination support to engineering staff
- Assist with preparation of project-related materials such as logs, figures, and plans (training provided)
- Support internal tools and systems used for project tracking and client management
BASIC QUALIFICATIONS
- High school diploma and a minimum of 2 years’ related experience.
- Associates or Bachelor’s degree in English, Communications, Journalism, or a related field (preferred)
- Strong writing, editing, and proofreading skills with exceptional attention to detail
- Ability to organize and present complex information clearly and professionally
- Interest in working with technical content (engineering or scientific experience is a plus, but not required)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to manage multiple deadlines and collaborate with technical teams
