Position Overview
The Project Assistant provides administrative and clerical support to Project Manager(s) and the project team. This is an office-based position focused on keeping project documentation, records, invoices, purchase orders, and other administrative processes organized and up to date.
The ideal candidate is organized, detail-oriented, dependable, and comfortable managing multiple tasks and deadlines. Previous construction experience is a plus but not required. Experience in administrative, accounting, project support, or office environment is highly valued.

- Provide day-to-day administrative support to Project Manager(s) and the project team.
- Prepare, organize, track, and maintain project documentation, including purchase orders, subcontracts, change orders, invoices, and other project paperwork.
- Maintain accurate electronic project files within Contract Manager software or portal, company servers, and standardized filing systems.
- Assist with accounts receivable invoicing and other project-related billing activities.
- Gather and organize supporting documentation for Project Manager(s), including timecards, invoices, reports, and other project records.
- Assist with tracking project information and documentation to help Project Manager(s) stay organized and informed.
- Review documents for completeness and follow up on missing information as needed.
- Assist with project closeout documentation and filing.
- Participate in meetings, take notes, and distribute meeting minutes as needed.
- Answer calls from vendors, clients, and other project contacts in a professional manner.
- Assist with general office and administrative tasks that support the project team.
- Learn and follow company procedures related to project documentation, billing, purchasing, and recordkeeping.
- Perform other administrative duties and special projects as assigned.

- Previous administrative, clerical, project support, accounting, or office experience preferred.
- Prior construction experience is a bonus but not required.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks, manage deadlines, and stay organized with limited supervision.
- Strong written and verbal communication skills.
- Comfortable working in a fast-paced office environment and managing multiple priorities.
- Basic understanding of accounting principles and processes.
- Proficiency with Microsoft Office, particularly Word and Excel.
- Comfortable working with electronic files, folders, and document management systems.
- Strong follow-through and problem-solving skills.
- Good math and data-entry skills with a high level of accuracy.
- Professional and dependable approach to working with coworkers, vendors, and clients.
