SUMMARY/FUNCTION:
Supports day-to-day operational reporting and data needs for the Operations and Wealth Management Divisions. Assists managers and business partners by providing visibility into standard procedures, data resources, and defined-scope analyses. Help interpret data files and layouts and communicate appropriate data usage to internal teams and external vendors. Compiles, cleanses, and validates data to identify basic trends that support informed decisions and assists the client communications team with client mailings and e-delivery activities.
QUALIFICATIONS:
- Working knowledge of standard computer applications and basic troubleshooting.
- Bachelor’s degree or equivalent related experience.
- 3–5 years of experience in stock brokerage operations or a related operations environment.
- Proficiency with Microsoft Office (Excel, Access) and the ability to run basic queries and reports using approved reporting and data tools, as needed.
- Ability to learn approved AI tools and assist with basic user support and training under guidance.
- Sound critical thinking and problem-solving skills; able to escalate issues appropriately.
- Strong verbal and written communication skills; able to explain standard processes and basic technical instructions in a professional manner.
- Customer service mindset with the ability to work with internal and external partners.
- Ability to work effectively with varied personalities and across multiple levels of the organization.
- Familiarity with departmental policies, processes, and procedures (or the ability to learn them quickly).
- Strong writing skills, including clear documentation and concise email communication.
- Experience working in a team-oriented, collaborative environment.
- Demonstrated initiative and ability to manage assigned tasks with guidance and follow-up.
- Organized and detail-oriented, with the ability to manage multiple deadlines and priorities.

DUTIES:
Utilize Data to improve Operations Departments
- Own assigned standard queries, reports, and approved data-tool requests from intake through completion, applying basic judgment to validate outputs, resolve routine issues, and escalate exceptions appropriately.
- Lead assigned data pulls and validation activities for Wealth Management client lists, ensuring data accuracy, completeness, and appropriate use for standard communications and mailings.
- Manage assigned third-party vendor data requests and project tasks, coordinating timelines, clarifying requirements, monitoring completion, and escalating risks or non-routine issues to senior staff.
- Maintain ownership of standard process documentation and the approved query, report, and reference-material library, keeping resources current, organized, and usable for Operations stakeholders.
- Coordinate assigned client communication processes, including mailings and e-delivery support, by applying established procedures, confirming required data elements, and resolving routine process questions independently.
- Apply a working understanding of key brokerage data fields, file layouts, and standard data usage to interpret defined-scope requests and guide internal teams on appropriate data handling.
- Provide practical guidance to Operations staff on assigned reporting tools, basic data-analysis practices, and approved AI tools, reinforcing standard processes and escalating complex questions as needed.
