General Responsibilities:
The Project Coordinator/Dispatcher/Local Office Administrator serves as the central hub for the scheduling field technicians, supporting project delivery, and maintaining smooth daily office operations. This role supports project execution through administrative support and manages the daily operations of the Terracon Lincoln office.
Essential Roles and Responsibilities:
Dispatching & Scheduling:
- Receive and prioritize service requests, assigning qualified technicians and equipment to project sites.
- Adjust daily schedules in real time based on workload, urgency, and resource availability.
- Communicate continuously with field staff, project managers, and regional offices to coordinate assignments and resolve conflicts.
- Ensure all dispatching aligns with safety and quality standards.
Project & Administrative Support:
- Maintain accurate project details including schedules, deliverables, contracts, and documentation.
- Assist with proposals, budgets, change orders, and invoicing in partnership with project teams and accounting.
- Prepare and track reports, drawings, logs, and client communication materials.
- Update internal systems with current project data.
Office & Fleet Coordination:
- Help manage daily office operations such as supply ordering, equipment maintenance scheduling, onboarding, and visitor/vendor coordination.
- Support fleet administration including rentals, registrations, inspections, telematics tracking, and maintenance scheduling.
- Assist with office events, compliance postings, and computer asset inventory.
Safety & Quality:
- Follow all safety guidelines and report concerns promptly.
- Maintain quality standards across dispatching, documentation, and operational processes.
Requirements
- High school diploma or equivalent.
- Minimum of 3 years of relevant experience in dispatching, administration, or project coordination.
- Proficient in Microsoft Office, scheduling systems, and general business technology.
- Strong time management, communication, negotiation, and interpersonal skills.
- Valid driver’s license with acceptable driving history.
