Position Overview:
The Executive Assistant provides high-level administrative, organizational, and governance support to the Executive Director and the Shiprock Associated Schools, Inc. (SASI) Governing School Board. This position serves as a key point of coordination between executive leadership, board members, school administrators, and external stakeholders, ensuring effective communication, efficient operations, and adherence to governance protocols.
The Executive Assistant manages confidential information, supports board operations and meetings, coordinates executive schedules and correspondence, and ensures compliance with applicable policies, procedures, and regulatory requirements. This role requires professionalism, discretion, strong organizational skills, and the ability to anticipate needs in a dynamic educational leadership environment.
Qualifications
Education
- Associate's degree required; Bachelor's degree in Business Administration, Public Administration, Education, or related field preferred.
Experience
- Minimum of three (3) years of executive-level administrative or board support experience.
- Experience supporting senior leadership and/or a governing board preferred.
- Experience in an educational, public, or tribally controlled organization preferred.
Knowledge, Skills & Abilities –
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication skills.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Proficiency in Microsoft Office applications, Google Workplace, and office technology.
- Knowledge of governance procedures, meeting protocols, and record-keeping practices.
- Ability to work independently, anticipate needs, and adapt to changing priorities.
- Commitment to SASI's mission and culturally responsive professional practice.
Other Requirements –
- Must pass a background investigation and fingerprint clearance under federal, state, and local standards.
- Possess a valid driver's license and willingness to travel as required.
- Possess, or able to obtain, a valid First Aid & CPR certification for adults, children & infants, and a Navajo Nation Food Handlers Permit.
- Ability to attend evening and weekend board meetings as scheduled.
Duties and Responsibilities:
Executive Director Support
- Provide comprehensive administrative support to the Executive Director, including calendar management, scheduling, correspondence, and document preparation.
- Serve as a liaison between the Executive Director and internal and external stakeholders, ensuring timely and professional communication.
- Coordinate executive travel, meetings, and events, including preparation of agendas, materials, and follow-up documentation.
- Maintain confidential files, records, and sensitive information with the highest level of discretion.
- Assist with tracking deadlines, action items, and priorities to support effective executive decision-making.
Governing School Board Support
- Provide administrative and logistical support to the SASI Governing School Board in accordance with board bylaws, policies, and governing procedures.
- Coordinate board meetings, including scheduling, posting notices, preparing agendas, and board packets, and ensuring compliance with open meetings and public notice requirements.
- Prepare and distribute board materials in a timely manner and maintain official board records, minutes, and resolutions.
- Record accurate meeting minutes and ensure proper documentation and archival of board actions.
- Serve as a professional point of contact for board members, facilitating communication with the Executive Director and administration as appropriate.
Office Management & Coordination
- Manage incoming and outgoing communications, including phone calls, emails, and correspondence.
- Support administrative workflows by organizing records, maintaining filing systems, and assisting with reports and presentations.
- Coordinate with administrative staff and departments to support organizational efficiency and information flow.
- Assist with special projects, audits, accreditation support, or compliance documentation as assigned.
- Perform other duties as assigned to support SASI's operational and governance needs.

SASI and its facilities are located within the Navajo Nation and, in accordance with Navajo Nation law, has implemented a Navajo Preference in Employment Policy.
