This role’s primary focus is supporting EMIT’s leadership team by managing schedules, coordinating communications, and ensuring executive priorities and initiatives move forward efficiently. The Executive Assistant will serve as a trusted partner to leadership, helping bring structure, organization, and follow-through to a fast-moving environment. This role goes beyond traditional administrative support. The right candidate will help ensure nothing falls through the cracks by coordinating meetings, tracking priorities, supporting projects, and maintaining professional communication with internal and external stakeholders. ROLE AND RESPONSIBILITIES
Key Accountabilities:
Executive Support:
- Manage complex calendars, meeting schedules, and travel arrangements for members of the leadership team
- Coordinate internal and external meetings, including agendas, materials, and follow-up action items
- Screen and prioritize communications on behalf of executives
- Ensure leadership schedules are organized, efficient, and aligned with company priorities
Coordination & Organization:
- Track leadership priorities, key initiatives, and deadlines to ensure alignment and follow-through
- Coordinate cross-functional meetings and assist with meeting preparation and documentation
- Maintain organized systems for executive files, documents, and materials
- Ensure important information, action items, and documentation are properly captured and distributed
Project & Operational Support:
- Assist leadership team members with special projects and operational initiatives
- Prepare reports, presentations, and executive summaries as needed
- Help coordinate company events, leadership meetings, and strategic planning sessions
- Provide administrative and operational support to help leadership initiatives move forward efficiently
Communication & Professional Representation:
- Serve as a professional point of contact for internal and external stakeholders
- Draft and edit communications on behalf of leadership team members
- Ensure communications are handled with professionalism, clarity, and timeliness
- Represent the leadership team with professionalism when coordinating meetings or communications
Confidentiality & Judgment:
- Handle sensitive company information with the highest level of confidentiality
- Exercise sound judgment when managing executive communications and priorities
- Maintain discretion when handling internal discussions, documents, or leadership matters
BASIC QUALIFICATIONS
- High school diploma or equivalent required; associate’s or bachelor’s degree in business administration or a related field is a plus
- 5+ years of experience supporting senior leaders, executives, or leadership teams
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- High level of professionalism and discretion
- Ability to manage multiple priorities in a fast-paced environment
- Strong attention to detail and follow-through
- Proficiency with Microsoft Office and standard business collaboration tools
PREFERRED QUALIFICATIONS
- Experience supporting multiple executives or leadership teams
- Experience working in a manufacturing, operations, or technical environment
