General Description:
BeOne is seeking an experienced Executive Assistant to report to and support the NA General Manager and his Chief of Staff. The person in this role will need to be an experienced, detail-oriented problem-solver with exceptional organizational and time management skills. Additionally, the ideal candidate will have exceptional communication skills, the ability to manage the needs of many, be self-motivated, and demonstrate resourcefulness in building relationships across the global BeOne organization.
Candidate must be located on the East Coast.
Essential Functions of the Job:
- Provide support to the NA General Manager and NA GM Chief of Staff
- Schedule and manage appointments, meetings, and events to maximize the leader's time and efficiency.
- Coordinate travel logistics, including flights, accommodations, transportation, and itineraries.
- Oversee and manage the senior leader's expenses, including preparing monthly expense reports, tracking reimbursements, and ensuring compliance with company policies
- Schedule and manage Core North America Leadership Team (cNALT) bi-weekly meetings, cNALT calendar and off-sites
- Provide in-person meeting support for cNALT and other commercial meetings (meeting space, meeting meals, off-site dinners, congress logistics, etc)
- Understand business priorities and proactively look for ways to streamline the support matrix
- Support maintaining internal cross-functional relationships, including the Office of the CEO, Board members, CPT and Senior Leaders
- Partner with the Executive Assistants across the enterprise to manage scheduling and share best practices
- Schedule and coordinate candidate phone, video and in-office interviews
- Process Scope of Work, Master Service Agreements, Purchasing Orders and Invoices
- Complete administrative aspects of projects and initiatives
- Maintain org charts within the NA commercial organization
- Provide assistance as needed for assigned department
- Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications
- 7+ years of experience assisting high level executives and leaders; multiple disciplines a plus
- Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Strong verbal and written communication skills, with the ability to interact professionally with a variety of stakeholders.
- High attention to detail to ensure accuracy in documents, scheduling, and communications.
- Effective problem-solving skills, with a proactive approach to identifying issues and implementing solutions.
- Ability to work in a fast-paced environment and adapt to changing priorities with ease.
- Strong interpersonal skills with a collaborative and approachable demeanor, fostering positive relationships within all levels of the organization.
- A high level of professionalism, reliability, and initiative in all tasks and responsibilities.
- High level of proficiency with Microsoft Office Suite (word, excel, PPT) and other technology tools such as virtual meetings, teleconferencing, and various presentation and organizational software

Salary Range: $89,900.00 - $114,900.00 annually

Actual compensation packages are determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location. Packages may vary by location due to differences in the cost of labor. The recruiter can share more about the specific salary range for a preferred location during the hiring process. Please note that the listed range reflects the base salary or hourly range only. Non-Commercial roles are eligible to participate in the annual bonus plan, and Commercial roles are eligible to participate in an incentive compensation plan.
