Elgin Experience Center is state of the art facility that is invested in next generation technology. Operations include the manufacture and systems integration of mission-critical systems.
Job Description
In this dual-impact role, you will provide critical local support to the Senior Management Team. Beyond traditional administrative gatekeeping, you will act as a central hub for our facility—spearheading site-wide event planning, tracking operational projects, and driving a positive, connected workplace culture.
Key Responsibilities
- Strategic Calendar Management: Proactively manage complex, high-volume calendars for the senior leaders, balancing local plant priorities with global corporate timelines.
- Communication Liaison: Draft polished internal communications and site-wide announcements. Act as a professional liaison between the leadership team, plant floor employees, and corporate stakeholders.
- Travel & Expense Management: Coordinate seamless domestic and international travel itineraries, and manage expense reconciliation using corporate software.
- End-To-End Event Coordination: Own the planning, budgeting, and execution of local site events, including plant town halls, employee appreciation days, holiday parties, community outreach, and VIP/customer visits.
- Vendor & Hospitality Management: Source, negotiate, and manage contracts with local caterers, suppliers, and hospitality vendors. Ensure top-tier hospitality for visiting global executives.
- Action-Item Tracking: Attend leadership and operational meetings, capture precise minutes, and proactively track action items to ensure facility deadlines are met.
- On-Site Resourcefulness: Maintain a strong presence across the operation to gather updates, verify project statuses, and help resolve administrative bottlenecks for the team.
Additional Qualified Skills
- Event Track Record: Proven experience independently executing corporate or site-wide events for 50+ attendees.
- Workspace Tools: Proficiency in complex calendar management; intermediate proficiency in data tracking. Google Workspace preferred.
- Modern Productivity: Forward-thinking comfort using modern tech and generative AI tools to streamline drafting, formatting, and scheduling tasks.
- Absolute Discretion: Proven ability to handle highly sensitive and confidential plant performance and HR data.
- Cross-Functional Communication: The unique ability to build trust and communicate effectively with both hourly plant workers and global C-suite executives.
- High Adaptability: A calm, solution-oriented demeanor capable of pivoting seamlessly when priorities or schedules shift unexpectedly.
- Education: Associates or Bachelor's preferred.
- Experience: 3+ years supporting a Director or Executive level position.
