The Corporate Access Coordinator is a member of the corporate access team with a focus on Technology products within Equities. This is a hybrid position working across groups to run logistics and event management for Industry Executives across the technology sector, supporting the Tech Access Sales group, and Corporate Access and Research team. The expectation for this role is to have ownership of core Tech deliverables and be comfortable leading the project management side and the execution of our events. Primary responsibilities will be event coordination and logistics, internal and external compliance reporting, data management as well as minor administrative support for sales team.
ESSENTIAL FUNCTIONS:
- Coordinate all analyst marketing, in-market events, schedule and maintain regular updates to the marketing pitch for all Tech Analysts with support of Associate team.
- Manage all industry leader logistics for Mosaic industry network at industry events including venue logistics, travel, transportation, lodging, meeting schedules, meals and entertainment as well as internal calendars and BD Vision iplanner.
- Back up support for coordination of industry leader scheduling for custom 1x1 events and roadshows for institutional clients.
- Manage client event calendar including creating templates for all client events, ensuring accuracy and providing updates as needed.
- Venue management for Mosaic and Corporate access team; maintain a repository of all venues for client events in major cities in internal CRM including general venue details, venue contact information, and event notes.
- Run all Mosaic Virtual Spotlights (Zoom Webinars) including creation of events, managing calendar invites, and host responsibilities.
- Manage venue coordination and primary lead for all client meals at KeyBanc conferences, support as needed for Mosaic industry leader community events.
- Coordinate any required compliance documentation with industry leaders through Salesforce, formal agreements, and Outlook Calendar acknowledgements; maintain all checklists and compliance tracking.
- Regular reporting to client compliance departments for Mosaic industry leader engagements and lead biannual compliance audit.
- Track and communicate any deficiencies in compliance documentation to Mosaic management and work to resolve issues in a timely manner.
- Responsible for maintaining accurate company and client profiles in internal CRM in partnership with business analyst team and running weekly reports for all client data.
- Monthly and Quarterly reporting of account engagement trends as well as daily review of client data in CRM and reporting to BD Vision.
- Work with generalist sales to coordinate Mosaic access for lower tier (3) clients including managing CRM entries and reporting, calendar invites, and compliance as required.
- Back up support for the coordination of accounting and invoicing processes for the Mosaic Group.
- Perform other duties as assigned or required.
SCOPE OF POSITION:
Works under little supervision, both individually and within a team environment. Failure to effectively manage industry leader relationships can directly impact the company in both the short and long-term. This position requires comprehensive event coordination skills, working with multiple business partners and dynamic business problems. Handles confidential information with discretion. Position performs multiple tasks in an environment of changing priorities. Frequent internal and external communication with all levels of employees and senior professionals in the technology industry.
ESSENTIAL REQUIREMENTS:
- 2+ years of related client coordination experience
- Bachelor’s Degree or equivalent in work experience
- Mastery of MS Office (Excel, PPT, Word)
- Salesforce database or other equivalent CRM data entry and management experience
- Must be comfortable working through complicated business scenarios with various departments and at multiple levels within the organization (with sales, direct with clients, etc.)
- Inherent interest in technology and technology trends
- Strong interpersonal and communication skills
- Strong organizational skills and detail-oriented
- Self-motivated and ability to take ownership of all aspects of position
- Process knowledge and planning abilities
- Problem-solving skills
- U.S. work authorization required

COMPENSATION AND BENEFITS
This position is eligible to earn a base salary in the range of $69,000.00 - $105,000.00 annually. Placement within the pay range may differ based upon various factors, including but not limited to skills, experience and geographic location. Compensation for this role also includes eligibility for incentive compensation which may include production, commission, and/or discretionary incentives.
