Overview:
Job Duties and Responsibilities

System Administration: Configure and maintain the ServiceChannel work order system, including user roles, permissions, workflows, and asset databases. Troubleshoot system issues and coordinate with software vendor and inhouse IT department when needed. Train new and existing users on system functionality and maintenance processes.

Preventative Maintenance Program: Build, schedule, and optimize preventative maintenance (PM) tasks for required trades. Track PM completion rates and forecast completed with the Accounting Department at quarter’s end. Work with Procurement and Accounting Departments to ensure PM modules match contracted rates and frequencies. Provide data for RFP bid process for PM trades. Using AI audit PM invoices for rate compliance.

Work Order System Maintenance: Optimize the ServiceChannel user dashboards to allow stores to enter repair requests to provide vendors with adequate information. Assign Appropriate vendors to each store. Monitor backlog, overdue tasks, and service-level compliance.

Reporting: Develop and distribute reports on KPIs such as PM compliance, response times, and vendor performance. Use ServiceChannel Analytics to develop automated reporting for facilities managers and management. Support audits, regulatory compliance, and capital and expense budget planning through reliable data management.

Facilities Support & Collaboration: Work with facilities managers to assist in the onboarding of vendors into ServiceChannel. Work with facilities coordinator to maintain vendor compliance records, Eg insurance forms, W-9s, and service agreements.

Warranty: Work with Construction Project Managers, Facilities Managers and General Contractors to track completion of open warranty repairs.

Assets: Input and update asset data for each location. Incorporate asset data into preventative maintenance modules.
QUALIFICATIONS
- Bachelor's Degree in Business
- 3-5 years experience in CMMS Administration
- Microsoft Office with a focus in Excel
- Web-Based Vendor Dashboards
- CMMS Platforms
- Strong knowledge of work order systems.
- Exceptional team-building abilities.
- Excellent communication and interpersonal skills.
- Organizational and data management skills.
- This position will provide savings through invoice auditing, contract compliance, and vendor optimization.
