This position will be responsible for managing day-to-day accounts payable, accounts receivable, and customer collections activities. ROLE AND RESPONSIBILITIES
Key Responsibilities
Accounts Payable (AP)
- Receive, review, and enter vendor invoices accurately and promptly into QuickBooks.
- Match invoices to purchase orders and verify supporting documentation.
- Code expenses to the appropriate account, department, location, or customer job.
- Coordinate with management to resolve missing documentation or invoice discrepancies.
- Review invoices for duplicate charges, incorrect pricing, freight charges, and other discrepancies.
- Reconcile vendor statements and follow up on missing invoices, outstanding balances, and unapplied credits.
- Prepare payment batches by check, ACH, or credit card for management approval.
- Monitor invoice due dates and provide management with upcoming payment requirements.
- Maintain accurate vendor records and independently verify requests to change vendor banking or payment information.
- Respond professionally to vendor inquiries and resolve billing disputes.
Accounts Receivable (AR) & Collections
- Monitor outstanding customer invoices and accounts receivable balances.
- Proactively contact customers by phone and email regarding past-due invoices.
- Follow up consistently on outstanding balances to ensure timely payment.
- Maintain accurate records of collection calls, emails, payment commitments, and account activity.
- Research and resolve customer billing questions, payment discrepancies, and disputed invoices.
- Coordinate with sales representatives, branch managers, and management to resolve outstanding customer balances.
- Apply customer payments accurately and promptly in QuickBooks.
- Reconcile customer accounts, including unapplied payments and outstanding credits.
- Prepare and distribute customer statements, payment reminders, and past-due notices.
- Identify accounts requiring escalation and follow established company collections procedures.
- Assist management in reducing accounts receivable aging and improving company cash flow.
- Provide regular updates on overdue accounts, collection progress, and anticipated customer payments.
General Accounting & Administrative Responsibilities
- Maintain accurate and organized electronic records of invoices, payments, and supporting documentation.
- Assist with monthly reconciliations and month-end accounting procedures.
- Support management with financial reporting, audits, and accounting-related requests.
- Ensure accounting records are accurate, complete, and maintained in accordance with company procedures.
- Follow company financial controls, maintain confidentiality, and report unusual or unauthorized transactions.
- Communicate effectively with internal departments to resolve accounting issues.
- Perform additional accounting and administrative duties as assigned.
BASIC QUALIFICATIONS
- Previous hands-on QuickBooks experience is required.
- Previous experience in accounts payable, accounts receivable, bookkeeping, or a similar accounting position.
- Experience with customer collections, including contacting customers regarding overdue invoices.
- Strong attention to detail with a focus on accuracy and completeness.
- Proficiency in data entry and maintaining accurate financial records.
- Strong organizational and time-management skills with the ability to prioritize multiple responsibilities.
