Job Description
BAE Systems is hiring an Administrative Assistant IV to support the CMS business and functional teams in Aberdeen, SD. Under limited supervision, performs a variety of complex administrative duties such as: Acts as an information source on organizational policies and procedures; gathers, compiles, and reports information relevant to a given assignment; participates in planning of functions; administers organizational correspondence control; and aids department members.
Responsibilities:
This role performs a variety of administrative tasks which support Operations and the site. Duties include, but are not limited to:
- Controlling access and admitting visitors, contractors, trucks, and other guests to the site
- Assisting in the badging process and verifying I-9 information for new hires
- Facilitate contractor safety training
- Data Input & Tracking
- Document control & retention/Configuration Management
- Maintains PPE documentation and various forms for Safety Department
- Purchase card & Expense report reconciliation
- Area upkeep
- Various office support/supply tasks
- Respond to ad hoc requests from internal and external stakeholders, ensuring timely and accurate delivery of information, data, and resources while maintaining confidentiality and discretion.
Required Education, Experience, & Skills
- High School Diploma/GED and 4+ years of relevant experience or equivalent experience
- Experience in Administrative Assistance
- Experience in Calendar Management, Meeting/Event Scheduling, and Travel Coordination
- Experience in SharePoint or other Enterprise Data Management Systems
- Experience in MS Office (Outlook, Word, Excel, PowerPoint), Microsoft 365, Teams
- Ability to provide support to the Program Management Team
- Ability to work in a fast-paced environment, multitask, and manage changing priorities
- Ability to manage, organize, and structure data to support reporting needs
- Ability to integrate information from a variety of sources into correspondence, presentation materials, or reports
- Ability to interact effectively with personnel at all levels, inside and outside of the organization
- Proficiency with word processing, presentation, spreadsheet, database, email, and calendar software
- Forward-thinking with problem-solving skills
- Attention to detail and time management skills
- Excellent verbal and written communication skills

- Certificate/Training in MS Office Products

Pay Information
Full-Time Salary Range: $45249 - $72399
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
