What You'll Actually Do
Day-to-day operations
- Run errands — bank deposits, post office runs, supply pickups
- Handle mail, envelope stuffing, and general office logistics
- Answer phones, greet visitors, and manage front-office tasks
Technology & digital organization
- Scan documents and build a clean, logical digital filing system
- Use AI tools (like Claude, ChatGPT, or similar) to draft communications, summarize documents, organize data, and streamline repetitive tasks — comfort experimenting with new tech is a must
- Keep our digital records accurate, current, and easy for the team to find
Finance-adjacent support
- Process light accounts payable — entering invoices, coding expenses, prepping payments for approval
- Track receipts and support month-end reconciliation
- Flag discrepancies before they become problems
Events & projects
- Help plan and execute company events, from logistics to day-of coordination
- Manage vendors, timelines, and the dozen small details that make an event run smoothly
- Jump into ad hoc projects as they come up — because something always comes up

- 2+ years in an administrative, office management, or operations support role
- Comfortable using — or genuinely curious about — AI tools to work smarter
- Basic bookkeeping or AP experience (QuickBooks or similar a plus)
