JOB DESCRIPTION
The Project Management Specialist serves as a subject matter expert, driving process improvement and supporting continuous business success. This role is primarily responsible for managing the intake and evaluation of system enhancement requests across SAP systems and Salesforce, as well as related process improvements, to ensure business needs are fully understood and clearly documented. The Specialist partners with stakeholders to gather and define business requirements, ensuring proposed changes are appropriately reviewed, prioritized, and assigned in alignment with organizational objectives.
This role also leads change management activities for project implementations by preparing stakeholders for transitions, facilitating training, addressing resistance, and measuring the effectiveness of new processes, systems, and tools. A key part of the position is the ability to present processes clearly, map out process flows, and communicate recommended improvements to stakeholders and team members.
Contributions from this position support project management efficiency, data accuracy, and achievement of organizational objectives. The Specialist assists the Training Team in creating staff training communications, facilitates knowledge updates, and provides support to managers and directors for project management deliverables. Additional responsibilities include resolving inquiries, collaborating with other functional teams for issue resolution, and fostering strong customer loyalty through positive relationships.
This role operates in accordance with internal organizational requirements and relevant regulatory standards, including ethics, environmental health and safety, financial practices, human resources, and core business policies. Work activities and communications may be monitored and recorded to support quality assurance, coaching, training, and development.
MAIN AREAS OF RESPONSIBILITIES:
- Manage and maintain system enhancements and assigned functional projects
- Monitor new or updated processes; collaborate with managers and other departments for effective escalation and resolution of issues
- Create reports as needed for program data collection and analysis
- Serve as a subject matter expert; collaborate with Training and Quality teams to maintain the knowledge base
- Model and share best practices with team members; receive and implement feedback as appropriate
- Lead change management activities across assigned projects, ensuring stakeholders are prepared for new systems, processes, or tools; facilitate adoption, provide training, address resistance, and measure the effectiveness of change initiatives
- Engage key stakeholders to clarify business needs, define project goals and charters, and ensure alignment with strategic objectives
- Demonstrate a passion for delivering exceptional service daily and inspire others by example
- Present processes and recommend improvements clearly to stakeholders and internal teams
- Map, document, and communicate process flows to support consistency and operational efficiency

BASIC QUALIFICATIONS
- Proficiency with Microsoft Office Suite
- Strong working knowledge of Salesforce Lightning
- Strong working knowledge of SAP Systems
- 1–2 years of project management experience
- Excellent verbal and written communication skills, with the ability to present processes clearly to stakeholders
- Experience working collaboratively in a team environment
- Ability to learn new technologies quickly and adapt to process changes
- Ability to map, document, and communicate process flows
- Strong organizational and prioritization skills
- Demonstrated initiative and sound decision-making skills
