INTRODUCTION
The Operations Coordinator supports daily operational activities and dispatch coordination while performing administrative functions for moving and warehousing services. This role bridges communication between dispatch, operations crews, and management, ensuring smooth workflow, accurate documentation, and timely reporting. Supports payroll processing and acts as a liaison between operations staff, accounting, and payroll.
Responsibilities:
- Coordinate dispatch support, warehouse support, scheduling assistance, and crew communication
- Support office administrative functions including documentation, file management, and reporting
- Monitor job progress and maintain operational records and reporting systems
- Assist with scheduling conflicts, resource allocation, and operational problem-solving
- Provide backup dispatch support during peak periods
- Serve as the initial point of contact for resolving scheduling conflicts and payroll discrepancies, ensuring timely communication, issue tracking, and escalation to appropriate departments when necessary to maintain operational continuity and employee satisfaction
- Support payroll processing by ensuring accurate timekeeping and acting as liaison with accounting and payroll
- Coordinate with dispatch to schedule warehouse activities, including inventory movement, equipment needs, and crew support, ensuring alignment with daily operational requirements
- Prepare and organize daily documentation for submission to Accounting, ensuring accuracy, completeness, and compliance with company standards and reporting protocols
- Facilitate communication between operations staff, dispatch, and management
QUALIFICATIONS
- Minimum 2 years in operations support or administrative coordination
- Strong organizational and coordination abilities
- Experience in dispatch support and office administration
- Proficiency in scheduling software, dispatch systems, and Microsoft Office Suite
- Effective communication and multitasking skills
