ROLE AND RESPONSIBILITIES
The Firm Support Lead role is responsible for providing assistance to all employees and partners by assisting in various administrative and operational tasks. This is a highly detailed position that requires strong adherence to quality control standards.
The essential duties and responsibilities include, but are not limited to, the items listed below. Other duties may be assigned as necessary.
- Lead support provided for partners and managing directors to manage calendars, schedule meetings, travel logistics (booking flights, accommodations and transportation) and handle correspondence.
- Oversee day-to-day office operations such as maintaining office supplies, equipment, and facilities.
- Handle all aspects of incoming and outgoing mail and packages.
- Help keep break rooms presentable by making coffee, restocking coffee supplies and loading/unloading dishwashers, as well as other tasks, as needed.
- Handle incoming phone calls for multiple offices and related switchboard tasks with lasting, positive impression of the Firm.
- Greet guests with lasting, positive impressions of the Firm.
- Perform all aspects of facilities support.
- Ensure a clean, organized and efficient office environment.
- Lead planning and execution of local events, meetings, and/or conferences. Lead service provided as a central point of contact for internal and external inquiries.
- When needed, finalize documents in electronic formats (e.g., PDF or Word), ensure proper filing and organization, and prepare printed and bound copies for client delivery.
- Provide training to Firm Support Specialist Is and IIs to facilitate career development.
- Assign/monitor work to Firm Support Specialist Is and IIs as necessary.
- Complete special projects as assigned.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent
- 3+ years of related administrative experience
- Proficient in Microsoft Office Suite
