We are seeking a highly organized, detail-oriented, and client-focused Operations Specialist to support advisors and guide new clients through a seamless onboarding and account transition experience.
POSITION OVERVIEW
The Operations Specialist plays a critical role in supporting advisors, managing client transitions, and ensuring all onboarding processes are completed accurately and efficiently. This individual will serve as a key point of contact for clients throughout the onboarding process while coordinating operational workflows, account transfers, and follow-up activities across multiple households and advisors.
KEY RESPONSIBILITIES
- Input, submit, and track Ameriprise CPI packets
- Conduct onboarding calls with clients to gather information, request documentation, and answer questions
- Walk clients through registration and navigation of the Ameriprise secure client site
- Open accounts, submit ACAT transfers, and track funds through settlement
- Resolve complex client questions and account issues during the transition process
- Troubleshoot NIGO paperwork and accounts by identifying issues, correcting documentation, and resubmitting items
- Track signatures and proactively follow up until all paperwork is completed
- Scan, upload, and file documentation into the appropriate systems
- Coordinate third-party products including statements, appointment paperwork, and transfers of outside accounts and 529 plans
- Track multiple households and onboarding workflows across each advisor’s book of business
- Prepare for and support the first review meeting with the new advisor
- Ensure a smooth and organized handoff to the ongoing operations team following the first review meeting
- Provide exceptional client communication and service throughout the onboarding experience
QUALIFICATIONS & EXPERIENCE
- 2–5+ years of administrative, operations, or client service experience required
- Financial services or wealth management experience strongly preferred
- Experience with account opening, ACATs, transfers, or onboarding workflows preferred
- Strong organizational and time management skills with the ability to manage multiple priorities
- High attention to detail and follow-through
- Excellent communication and client service skills
- Ability to troubleshoot issues independently and work collaboratively within a team environment
- Experience with CRM systems and document management systems preferred
- Experience prioritized over formal degree
COMPENSATION & BENEFITS
- Salary range: $58,000 – $72,0000, based on experience
- Exempt
