INTRODUCTION
HF Sinclair in Sinclair, WY is seeking Maintenance Scheduler / Preventive Maintenance (PM) Coordinator who is responsible for planning, scheduling, and coordinating maintenance work to support safe, reliable, and efficient refinery operations. This role manages the preventive maintenance program, develops maintenance schedules, and ensures maintenance work is properly planned, resourced, and executed in alignment with company policies, safety standards, and operational priorities. The position works closely with Maintenance, Operations, Planning, Reliability, and Supply Chain to improve work execution and equipment reliability.
JOB DUTIES
Planning & Scheduling:
- Develop and maintain weekly and daily maintenance schedules in coordination with Maintenance Supervisors and Operations.
- Balance work priorities, labor availability, equipment access, and production requirements.
- Coordinate equipment outages, permits, and work sequencing.
- Support schedule compliance and continuous improvement of work management processes.
Preventive Maintenance Program:
- Manage the preventive maintenance (PM) program including PM accuracy, frequency, and compliance.
- Review and update PM job plans to ensure effectiveness and efficiency.
- Monitor PM completion rates and support continuous improvement efforts.
- Incorporate feedback from Maintenance and Reliability to improve PM quality.
Work Management & CMMS:
- Review maintenance work orders for scope, priority, safety requirements, labor, and material needs.
- Maintain accurate and complete work order data in the CMMS.
- Track and report maintenance metrics including backlog, schedule compliance, and PM performance.
Coordination & Support:
- Coordinate materials, tools, and resources with Warehouse, Purchasing, and contractors.
- Support maintenance planning activities including outages and turnarounds.
- Interface with Reliability and Engineering to support asset performance improvement initiatives.
Safety & Compliance:
- Ensure scheduled work complies with company safety policies, OSHA regulations, and PSM requirements.
- Promote safe work practices through effective planning and scheduling.
- Ensure work orders include appropriate safety controls and procedural requirements.
Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.
Experience
Minimum of three years of experience in industrial maintenance or operations. Experience supporting maintenance planning, scheduling, or preventive maintenance programs.
EDUCATION LEVEL
A minimum of a High School Diploma or GED equivalent is required.
REQUIRED SKILLS
- Working knowledge of mechanical and/or electrical maintenance practices.
- Experience using CMMS (SAP, Maximo, Agile Place/Lean Kit or similar).
- Strong organizational, planning, and coordination skills.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities in an industrial environment.
- Attention to detail and commitment to data accuracy.
- Strong commitment to safety and regulatory compliance.
- Ability to work effectively with Maintenance, Operations, and support groups.
SUPERVISORY/MANAGERIAL RESPONSIBILITY
Depending on location, occasional relief supervisor responsibilities of hourly maintenance employees for various foremen or may be responsible for the supervision of 12 to 15 employees. May be responsible for oversight of up to 50 contract employees. Serve as project manager for special assignments as required.

WORK CONDITIONS
Office and field based and with up to 5% by land and air require. Petroleum refinery, warehouse/plant environment, and out-of-doors environment and driver based environment including but not limited to chemicals, pressure vessels, tanks, rotating equipment, electrical shock, and working in confined spaces. Periodic overtime required. Required to respond to plant related emergencies and be available after hours during critical business situations depending on location.
