Polsinelli seeks a highly professional candidate to immediately fill an onsite Legal Administrative Assistant position, preferably with experience in labor and employment and commercial litigation, for their Philadelphia office. Successful candidates for this position should possess at least 5-7 years of relevant experience directly supporting multiple attorneys, preferably in a law firm setting.
CORE RESPONSIBILITIES
- Typing, formatting and proofing correspondence, emails and other legal documents.
- Preparing and handling legal filings for e-filing in State and Federal Court.
- Managing multiple attorneys’ calendars and travel schedules.
- Handling new client/matter intake, conflict searches.
- Processing attorney expense reimbursements and vendor invoices using the Firm’s reimbursement software system.
- Managing files and maintaining all relevant document inclusions for the files.
- Assisting with client billing projects and reviews.
- Strong decision-making capability.
- Other administrative duties, as needed and assigned.
REQUIREMENTS
- A minimum of 5-7 years of relevant experience directly supporting multiple attorneys, preferably in a law firm setting.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with meticulous attention to detail.
- Experience preparing and handling legal filings for e-filing in State and Federal Court is strongly preferred.
- Understanding of legal terminology, procedures, and local and state court rules.
- Ability to work independently and in a team setting.
- Ability to work in a fast-paced environment.
- Must be comfortable acting as an executive assistant dealing with confidential matters and communicating with clients.
- Demonstrated experience and expertise in client billing projects and reviews.
- Expert-level written and verbal communication skills.
- Strong decision-making capability.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
- Experience working with the following programs is beneficial: Interaction, iManage, Chrome River, InTapp and Internet search engines. New technology/systems may be introduced from time to time so candidates must be willing to learn.
