Legal Administrative Assistant
Based onsite in St. Petersburg, FL
The Legal Administrative Assistant provides comprehensive administrative and clerical support to the Senior Legal Operations Manager and the broader Legal team. This role plays a critical part in ensuring the department operates efficiently by managing schedules, coordinating communications, supporting billing processes, and handling a variety of administrative functions in a fast-paced, professional environment.
What can you expect to do?
- Coordinate and manage shared calendars, meetings, correspondence, and presentations for the Legal team
- Provide day-to-day administrative and clerical support to the Senior Legal Operations Manager and department members
- Assist with legal billing processes, including invoice tracking, submission, and reconciliation
- Arrange and coordinate travel schedules, accommodations, and related logistics as needed
- Generate reports, dashboards, and graphs to support team operations and decision-making
- Maintain office supplies inventory and place orders as necessary
- Support department mail distribution and document handling
- Assist with DocuSign processes, including preparing and routing documents for execution
- Help plan and coordinate internal events, customer visits, and community engagement activities
- Participate in special projects and provide administrative support as needed
- Provide backup support to other administrative assistants when required
- Ensure compliance with company policies, including security, confidentiality, and data handling procedures
- Adhere to all health and safety guidelines and perform other duties as assigned
What is the experience needed to be successful in this role?
- Education: High school diploma or equivalent required
- Experience: 3–5 years of administrative experience, preferably in a corporate or legal environment
- This is a fully onsite role
- Strong organizational and time management skills, with the ability to prioritize in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general PC applications
- Experience with data entry, reporting, and document management
- Ability to manage multiple tasks and adapt to shifting priorities
- Strong attention to detail and accuracy in handling documents and data
- Effective written and verbal communication skills with the ability to interact professionally with internal teams and external vendors
