Position Summary
The Registrar provides professional, efficient, and compassionate front-office support to patients, families, providers, and clinic staff. As a key patient contact, this role ensures a positive patient experience through accurate registration, scheduling, insurance verification, authorization management, payment collection, and maintenance of patient records within the EHR.
Responsibilities include managing patient communications, referrals, medical records, and administrative workflows; preparing clinical documentation; and supporting daily clinic operations. The Registrar maintains knowledge of insurance, billing, financial assistance programs, and clinic procedures while ensuring compliance, accuracy, and confidentiality.
Success in this role requires strong customer service, communication, organizational, and problem-solving skills, with the ability to prioritize multiple responsibilities, work independently, and thrive in a fast-paced, patient-centered healthcare environment.
Key Responsibilities
- Check patients In and Out as appropriate. To include accurate demographics, appointment scheduling with a high level of accuracy, insurance information, scanning and indexing to appropriate categories, printing of forms and notification of policy changes
- Collecting copays, past due balances and collections in accordance to MRMG CPO metrics. Applies payments to patient accounts and reconciles daily reports.
- Demonstrate excellent customer service by being attentive to patient needs whether by phone or in clinic. Inform patients, as appropriate, of circumstances that may cause a delay in their care while keeping an open line of communication with patient.
- Understands and can communicate effectively appointment protocols and what is recommended by the provider.
- Effectively confirms patient eligibility and financial obligations with a high rate of accuracy.
- Demonstrates proper communication and reporting skills. Handles telephone information requests with appropriate follow up and promptly reports matters requiring additional assistance or intervention.
- Understands and follows all HIPAA guidelines in handling patients HPI information, to include demographic information, medical information or financial information applying to written, oral and electronic records.
- Manages difficult or emotional customer situations; Responds promptly to all customers needs; Responds to requests for service and assistance. Can properly identify when a situation needs to be escalated to management.
- Provides attention to detail regarding all patient communication and follow up, to include any operational reporting that is assigned. Distributes lab reports to physicians and material to other departments; responds to correspondence requests.
- Ability to document appropriate and accurate messages in EHR to and from the clinical staff/provider.
