The GM Assistant serves as the General Manager's trusted right hand, providing hands-on support across shop operations, customer service, repair and insurance coordination, financial administration, and employee accountability. This person must learn how the GM runs the business and develop the ability to perform delegated management responsibilities.

The role requires ownership, initiative, sound judgment, and consistent follow-through. The assistant will anticipate needs, resolve routine issues, coordinate with department managers, and provide management coverage within the authority assigned by the GM.

Key Responsibilities

• GM priorities and follow-through: Manage assigned projects, meetings, deadlines, reports, and action items. Track each commitment through completion and keep the GM informed of progress and unresolved concerns.
• Daily shop operations: Participate in production meetings and coordinate with estimating, production, parts, and front-office staff. Maintain an accurate understanding of each vehicle's status, next step, and responsible person.
• Production and delivery tracking: Monitor work in progress, aging repair orders, cycle time, delivery commitments, parts delays, approvals, and sublet work. Follow up on obstacles and escalate issues that threaten completion.
• Repair files and insurance coordination: Review CCC ONE records for accurate status, complete documentation, authorizations, estimate and supplement follow-up, insurer communications, and billing readiness.
• Customer service and communication: Ensure timely, accurate customer updates. Assist with concerns and escalations, document communications, and coordinate scheduling and delivery commitments with the responsible departments.
• Financial administration: Support invoicing, accounts receivable, collections, payment reconciliation, deposits, and Accounting coordination. Identify missing payments, overdue balances, and discrepancies requiring follow-up.
• Business performance reporting: Prepare and review sales, work-in-progress, cycle-time, technician production, margin, payroll, expense, and receivables reports. Flag unusual results and help track corrective actions.
• Staff coordination and accountability: Communicate GM priorities, track assigned tasks, and support training, onboarding, timekeeping, and administrative follow-up. Reinforce procedures and service standards in coordination with department managers.
• Quality and delivery readiness: Coordinate with production and quality-control personnel to confirm required checks, repair documentation, approvals, and payment arrangements are completed before delivery.
• Process improvement: Help develop and maintain SOPs, checklists, forms, and reporting tools. Identify recurring problems and recommend practical improvements that support shop performance.
• Management coverage and confidentiality: Learn and perform delegated GM duties, handle routine issues within assigned authority, and escalate decisions requiring approval. Protect confidential employee, customer, and business information.

Required Skills and Qualifications

• Collision repair experience and a strong understanding of repair workflow, estimating, supplements, insurance claims, parts coordination, and vehicle delivery.
• Proficiency in CCC ONE, spreadsheets, email, document management, and general office software; ability to learn new systems quickly.
• Working knowledge of billing, receivables, payment reconciliation, and business performance reporting.
• Strong organization, communication, prioritization, attention to detail, and follow-through.
• Ability to work independently, anticipate needs, solve problems, and exercise sound judgment.
• Leadership, discretion, accountability, and willingness to learn the full scope of the GM's responsibilities.
• Preferred: Previous collision management, production, estimating, or office leadership experience.

Performance Expectations Success means reliable completion of delegated work, accurate records and reports, timely customer and insurance follow-up, early identification of operational problems, and fewer issues requiring repeated GM intervention. Management coverage expands as the assistant demonstrates competence and receives delegated authority.

Pay: $50,000.00 - $75,000.00 per year
