Duties
Position Overview:
The Accounts Payable & Maintenance Coordinator plays a vital role in ensuring the smooth operation of our financial and maintenance departments. This individual will be responsible for accurately entering and processing invoices, as well as receiving, prioritizing, and dispatching maintenance requests in a timely and efficient manner.
Key Responsibilities:
Invoice Processing
- Enter vendor invoices into our property management system
- Verify invoice accuracy and proper coding
- Track invoice approval status and follow up as needed
- Coordinate with the accounting department for timely procesing of payments
- Maintain organized records of all invoices
Maintenance Request Handling
- Receive and document maintenance requests from property managers or internal staff
- Prioritize and dispatch work orders to appropriate vendors or maintenance personnel
- Monitor progress and ensure timely completion of maintenance tasks
- Communicate with property managers and staff regarding status updates
- Maintain accurate records of maintenance activity and vendor interactions
Administrative Support:
- Assist with tasks such as managing phone calls, scheduling, managing email and filing documents.
Qualifications:
- Previous experience in administrative, accounting, or property management roles preferred
- Bilingual (English/Spanish)
- Strong data entry skills with high accuracy
- Excellent organizational and multitasking abilities
- Clear and professional communication skills
- Familiarity with property management software (Yardi) is a plus
- Ability to work independently and manage time effectively
