We are looking for an Analyst to join our Advisory Department. As an Analyst, you will be responsible for:
- Client Delivery Support: Assist with client delivery activities, including new client acceptance, engagement letters, client billing (including commission-based billing), client banking, and other related activities. The role involves working with a diverse array of BMFO-specific systems, including but not limited to CNB Business Suite, Easilink, Agilink, and handling permissions, admin support, and verbal confirmations across multiple banking profiles.
- Wealth Management & Reporting: Support the wealth management platforms, like Black Diamond, Arch/Canoe, and assist in preparing reports, pulling down private equity and other statements, and organizing data to facilitate the onboarding and integration of new clients.
- Administrative Services: Provide administrative services to support leadership and professionals, including managing calendars, itineraries, agendas, organizing virtual and in-person meetings, and coordinating travel arrangements. This role also includes office tasks such as filing, scanning, preparing mail packages, and handling ad-hoc projects.
- Data Entry & System Management: Provide system data entry support, including entering new clients or child clients into various information systems, and maintaining accurate records within various software and tools.
- Annual Filings Coordination: Coordinate annual non-tax filings and liaise with corporate legal services, for example, Eminutes and Paracorp. This includes tracking, monitoring, and coordinating these filings across the practice, and ensuring timely communications with the relevant entities.
- Client Workflow & Deliverables Management: Oversee and monitor the client delivery workflow tools, assisting account leads with upcoming deadlines and filings. The role includes tracking status reports and maintaining communication with engagement teams and clients.
- Utilization & Performance Goals: Work with performance manager to establish and meet utilization goals and targets to ensure efficient and effective service delivery. This role includes billable hours and utilization targets that must be met as part of your performance objectives.
- Minimum of three years of administrative experience, preferably in a business management or professional services environment.
- High School diploma or equivalent; completed coursework from an accredited college/university is preferred.
- Ability to proactively troubleshoot problems, ask questions for clarification, and understand when to escalate.
- Excellent interpersonal and communication skills.
- High attention to detail.
- Ability to prioritize competing requirements and/or deadlines.
- Proficiency in Microsoft Office Suite applications, web-based research skills, and the ability to learn firm-wide applications and technology packages.
- Highest degree of integrity, professionalism, diplomacy, and discretion required.
- Team player with a positive attitude.
- Flexibility to work required overtime during busy periods or as needed.
