INTRODUCTION
The Administrative Assistant II provides administrative support to the functional areas of the Printing Services department, including working directly with the Director of Printing Services on projects. Tasks include:
Responsibilities:
- Professionally and efficiently executing Cameron University’s commitment to student success
- Establishing and maintaining effective work relations between the department and students, faculty, staff and the general public
- Greeting customers, answering phone calls and emails, relaying messages, and taking necessary action or referrals for resolution
- Responsible for efficient functioning of office, such as maintaining office files and records; processing accounts payable and receivables; filing and general administrative tasks; preparing and submitting customer invoices; coding, posting and receipt of payments; preparing and coordinating deposit activities; performing all accounting deposits; monitoring customer accounts; checking, verifying and processing invoices; sorting, coding and entering accounts payable data and journal entries; balancing and reconciling reports and accounts; and reviewing and reconciling invoices and statements against purchase orders
- Preparing information for university financial reports
- Providing administrative support, including maintaining vendor accounts and operating a copier
- Assisting with development, implementation, and compliance of department policies and procedures
- Assisting with preparation and maintenance of the department budget
- Preparing requisitions and purchase orders, and documenting credit card expenditures
- Processing all departmental mail
- Maintaining inventory of supplies and equipment
- Assisting with supervising part-time student workers
- Assisting with internal calendars and schedules
- Other duties as assigned relating to the operation of the department
MINIMUM QUALIFICATIONS:
- High school degree or equivalent
- Detail-oriented and organized
- Friendly, welcoming, positive and a team player
- Excellent customer service skills, judgment and integrity
- Strong interpersonal and communication skills
- Ability to prioritize, coordinate, and complete multiple, complex tasks
- Proficient in the use of MSOffice, QuickBooks, Excel, Publisher, Access, PowerPoint and databases
- Familiarity with bookkeeping and basic accounting procedures
- Demonstrated ability to work with online software/applications
PREFERRED QUALIFICATIONS:
- Associate degree or relevant certification or experience
- 2-4 years administrative and accounting experience
- Familiarity in InDesign, Photoshop and Illustrator software
- Experience in using a digital press and bindery equipment
