Bachelor’s Degree in related field. Four years’ relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position
Performs advanced administrative and operational support to the Office of the Provost and the Polytechnic College.
Primary Responsibilities
Provides front office coverage and comprehensive administrative support for the office of the provost. Supports the Vice Provost for Academic and Career Pathways with scheduling, travel, and other administrative support as needed. Manages budget operations, including handling P-Card purchases, Bearkat Buy processes, Aramark orders, memberships, monitoring expenses, and overseeing polytechnic college budgets, accounts, and expenditures. Assists with events, programs, and projects. Reviews, revises, and interprets policies and procedures, and recommends improvements to enhance efficiency and effectiveness. Attends meetings, takes and maintains accurate notes, and prepares, reviews, revises, and distributes correspondence and official documents. Serves as a liaison with university departments, students, faculty, staff, alumni, and external stakeholders, and performs other related duties as assigned.

Requires detailed knowledge of university infrastructure, policies, and procedures, as well as thorough understanding of office systems, with the ability to solve operational problems and recommend process improvements. Demonstrated experience with administrative, purchasing, and financial processes is essential, along with strong attention to detail, organizational skills, and the ability to manage multiple priorities and meet deadlines. Communicate effectively in writing and exercise sound judgment and discretion when handling sensitive information. Proficiency with standard office and enterprise systems, including purchasing and financial platforms, is required.
