We are looking for a polished, highly organized professional with a passion for supporting a dynamic global environment. This is a full-time, on-site role reporting to the Senior Executive Assistant.
ESSENTIAL JOB FUNCTIONS:
- Serve as the first point of contact for visitors and employees; manage access and set the tone for a professional, welcoming environment
- Assist with scheduling, calendar management, and coverage for the Senior Executive Assistant as needed
- Record meeting minutes, coordinate executive and cross-departmental meetings, and virtual conferences; play a key role in organizing and attending larger events
- Set up and break down meeting rooms, including catering, A/V, and seating, support internal events and client meetings end-to-end
- Draft internal and external communications, including memos, emails, presentations, and reports
- Screen and direct phone calls, manage incoming and outgoing mail, packages, and courier services
- Maintain office supplies inventory, coordinate vendor relationships, and manage facilities requests
- Organize and book travel arrangements, assist employees with travel logistics and related inquiries
- Ensure all documents are properly filed and in compliance with applicable record retention policies
- This position requires approximately 10% travel; must be comfortable commuting to the Avenel, NJ office on a full-time basis
- Must be able to perform all essential job functions with or without reasonable accommodation
