JOB DESCRIPTION:
Reporting to the Deputy Director of Human Resources and Director of Benefits, the Benefits and Employee Well-Being Specialist assists in the administration of employee benefit and retirement programs, including medical, dental, vision, life insurance, flexible spending accounts, 403(b) and 457(b) retirement plans, and time off programs.
The Specialist provides information, counseling, and assistance to employees regarding benefit programs. The role supports employees preparing to retire by answering questions, assisting with enrollments, and serving as a liaison to retirees so they can remain connected with the university through programming, continued support, and guidance. The position oversees the Retiree Health Plan and Health Reimbursement Arrangement programs and manages Live Well W&L, the university’s wellness program. In addition, the Specialist finds innovative ways to champion a culture that supports a healthy balance of work and life.
The successful candidate will be highly organized and able to manage multiple competing priorities, shifting seamlessly between tasks and responding effectively to frequent interruptions. This role requires a strong communicator who can confidently present in group settings, engage thoughtfully in one-on-one conversations, and communicate clearly in writing. Communications responsibilities require both a customer service–focused skillset and the ability to develop, maintain, and share accurate benefits information and resources.
ESSENTIAL FUNCTIONS:

Assists in the administration of benefit programs including medical, dental, vision, disability, life, 403(b) and 457(b) retirement, and time off programs. As benefits change, supports the implementation of new benefits programs and transition of benefits to new carriers. Assists with annual open enrollment. Ensures timely enrollment for benefits. Researches and responds to questions regarding benefits and coordinates with carriers when necessary to resolve issues. Ensures compliance with benefits policies.

Presents benefits information to new employees during monthly orientation (wellness and work-life) and occasionally during weekly orientation (all other benefits). Presents annually to employees considering retirement, and occasionally on benefits-related topics during fall and winter academies.

Oversees the Retiree Health Plan and Health Reimbursement Arrangement programs for retirees. Ensures funds are deposited and available in a timely manner and according to plan rules. Maintains RHP and HRA plan documents and coordinates associated mailings, audits, and tax filings.

Works with retiring employees and retirees to answer benefit inquiries and resolve issues. Designs programming for retirees so they can maintain their connection to the University.

Upon the death of a retiree or employee, works with beneficiaries to ensure survivors apply for and receive all appropriate benefits due under the plans.

Manages Live Well W&L, the university’s wellness program, by working to create a culture and practice of holistic wellness within the university community. Provides comprehensive programming including education, tools, and resources to encourage and support well-being and a healthy lifestyle. Organizes the annual 5k, a series of cooking classes and the wellness fair. Regularly assesses and reports on wellness program effectiveness.

Creatively develops, communicates, and implements innovative programs focused on encouraging work-life balance.

Actively engages with relevant Employee Resource Groups including the Disabilities and Chronic Conditions and Caregivers Groups, in support of programming and connection.

Develops and implements comprehensive childcare support initiatives for employees, including identifying and curating local childcare resources, building partnerships with reputable childcare providers, and creating accessible guides to assist employees in navigating childcare options. Actively engages with the Caregivers Resource Group for programming and connection.

Complies with the university’s benefits plan documents, HR policies, and operating procedures, and applicable state and federal laws. Assists with audits, prepares and files required tax forms and prepares and distributes forms and notices for benefit programs as required. Assists with the university’s retirement plan compliance, regulatory changes, plan monitoring and non-discrimination testing.

In our team environment, contributes to additional projects and duties as necessary. Is familiar with employee leave programs and supports the Manager of Employee Leaves during busy times or extended absences.
MINIMUM QUALIFICATIONS:

Bachelor’s degree in a related area plus 2-3 years of relevant experience or a combination of education and experience from which comparable skills are attained.

Will need to become certified as a VICAP counselor (VA Insurance Counseling & Assistance Program) within six months of employment.

Excellent interpersonal, organizational and communication (verbal and written) skills, initiative, and attention to detail are necessary to be successful in this role.

Ability to manage multiple tasks and projects both independently and as a team.

Ability to maintain discretion with confidential and sensitive data.
