INTRODUCTION
Reporting to the Director of the Wellness Center, the Administrative Coordinator provides high-level administrative and operational support across all departments within the Wellness Center. This role requires a seasoned administrative professional who can manage complex workflows, coordinate across multiple functional areas, and exercise sound judgment in a fast-paced, confidential healthcare and student services environment.
The Administrative Coordinator plays a key role in supporting the efficient day-to-day operations of the Wellness Center, providing administrative support across medical, counseling, wellness programming, and accessibility services.
This is a 10-month, full-time, in-person, non-exempt position (40 hours per week during the academic year, plus 130 hours over the 13-week summer period). Standard office hours are 7:30 a.m. to 4:00 p.m., Monday through Friday; however, the schedule may vary to include occasional evenings and weekends based on campus activities and special events.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide comprehensive administrative support across Wellness Center departments, ensuring efficient coordination of operations and workflows
- Manage complex scheduling for medical and counseling providers, including appointment coordination and calendar oversight
- Oversee health records processing and data entry, ensuring accuracy and compliance with applicable regulations
- Administer aspects of the departmental budget, including invoice processing, payment tracking, and financial recordkeeping
- Coordinate and prioritize high-volume communications (phone, email, in-person), directing inquiries appropriately
- Maintain confidential records and sensitive information in compliance with HIPAA and FERPA regulations
- Serve as a primary point of contact for office operations, including equipment, supplies, and facility-related needs
- Liaise with internal and external systems, including electronic medical records (Medicat)
- Support data management and reporting needs for departmental assessment and operations
- Provide direct administrative support to the Director of the Wellness Center, including special projects and operational initiatives
REQUIRED QUALIFICATIONS
- 5 years of progressive administrative Coordinator or office management experience required
- Demonstrated experience supporting multi-functional teams or complex office environments
- Strong proficiency with office systems, scheduling platforms, and data management tools
- Excellent written and verbal communication skills with the ability to interact professionally with a wide range of stakeholders
- High level of discretion and experience handling confidential and sensitive information
- Exceptional organizational and problem-solving skills
- Proven ability to manage multiple priorities, work independently, and exercise sound judgment

- Associate’s or Bachelor’s degree
- Experience in a healthcare, higher education, or clinical setting
