The Invoice Compliance Coordinator supports the successful delivery of major aviation construction projects at Tampa International Airport. This position is responsible for reviewing contractor invoices for compliance, supporting project documentation and coordination activities, maintaining accurate project records, and assisting Project Managers and construction teams with daily project execution.
This role requires strong organizational skills, attention to detail, and the ability to work with multiple stakeholders to ensure project requirements, documentation, and payment processes are completed accurately and on time.
- Review contractor and subcontractor pay applications for accuracy, completeness, and contract compliance.
- Support invoice compliance activities for the following projects:
- Airside Apron ImprovementsGuideway Improvements
- Passenger Boarding Bridge Projects
- FAA Tower Project (as assigned)
- Assist with Part 1 invoicing and payment tracking.
- Review and maintain certified payroll records for assigned construction projects.
- Maintain and track labor compliance documentation, including any required "rainbow sheet" reporting for FAA-funded projects.
- Attend weekly Owner-Architect-Contractor (OAC) meetings, monthly quantity review meetings, and pay application review meetings.
- Process, organize, and file pay applications, subcontract agreements, contract documents, and subcontractor change orders.
- Review subcontractor and general contractor closeout documentation to ensure contractual requirements have been met prior to project completion.
- Assist with utility invoice routing, payment tracking, and maintenance of associated tracking logs and spreadsheets.
- Project Cost Controls and Project Administration Support (Secondary Responsibilities as Assigned)
- Support the Program Controls and Cost Manager by tracking and monitoring project budgets and costs.
- Utilize the Airport's Project Management Information System (PMIS), Kahua, to manage project records and workflows.
- Support project teams with airport notifications, including:
- Site Impact Requests (SIRs)
- Maintenance Coordination Notices (MCNs)
- Notices to Air Missions (NOTAMs)
- Other required airport coordination notices
- Work with Project Managers and construction personnel to ensure notifications and approvals are secured in advance of upcoming work activities.
- Monitor project documentation and assist in maintaining accurate and organized project records.
- Additional Responsibilities
- Assist with special projects and administrative assignments as needed.
- Support project closeout activities and turnover documentation.
- Take on expanded Project Engineer responsibilities based on performance, project needs, and demonstrated proficiency.
- Perform other duties as assigned.
- Associate's or bachelor’s degree in Construction Management, Engineering, Project Management, Business Administration, or a related field preferred.
- Equivalent combination of education and relevant experience may be considered.
Experience
- 1-5 years of experience in construction administration, project controls, project engineering, contract administration, invoice compliance, or a related field preferred.
- Experience supporting large infrastructure, aviation, transportation, or construction projects is a plus.
- Familiarity with contractor pay applications, certified payroll, and contract documentation is desirable.
Knowledge, Skills, and Abilities
- Strong attention to detail and organizational skills.
- Ability to review financial and contractual documents accurately.
- Proficient in Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to learn and effectively use Kahua or similar project management software.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced construction environment.
- Ability to work collaboratively with project managers, contractors, consultants, and airport stakeholders.
- Knowledge of construction management processes, document controls, and project coordination practices is preferred.
Work Environment
- Primarily based at Tampa International Airport project offices and construction sites.
- Regular attendance at project meetings and coordination sessions.
- Frequent interaction with project teams, contractors, airport operations personnel, and stakeholders.
- May require occasional site visits to active construction areas with appropriate safety equipment.

The base salary range for this position is $80,000.00 to $90,000.00. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
