SUMMARY
This is a 12-month contract position, with the opportunity to join the team full-time based on performance and business need. A Recruiting Coordinator is an operator who owns the integrity, efficiency, and experience of the hiring process from pipeline entry through offer, powered by data, systems, and candidate-centric design. They are instrumental in ensuring a seamless candidate experience. As a Recruiting Coordinator at Blue River, you won't just be scheduling interviews; you'll be the face of our recruiting team to every candidate who walks through our door (virtually or in person). JOB RESPONSIBILITIES
The main job responsibilities include:
Interview Scheduling & Coordination
- Own end-to-end interview scheduling and coordination for technical and non-technical roles across all levels, ensuring a seamless, efficient, and candidate-friendly process and communications.
- Manage complex calendar coordination across candidates, interviewers, and hiring managers.
- Proactively identify and resolve scheduling conflicts, ensuring minimal delays in the hiring process.
- Support scheduling workflows using tools such as ModernLoop.
- Efficiently manage high volumes of scheduling tasks, while demonstrating problem-solving acumen and creativity to refine and develop processes.
Candidate Experience Execution
- Serve as the primary point of contact for candidates throughout the interview process: warm, proactive, responsive, and always on top of the details.
- Deliver clear, timely communication related to scheduling, interview logistics, and expectations.
- Ensure candidates are well-prepared with relevant details prior to interviews.
- Provide a professional, responsive, and positive experience at every interaction.
- Use data and storytelling to bring candidate experience wins to light with non-recruiting audiences.
Pipeline Coordination & Data Accuracy
- Support recruiters in keeping pipelines organized and progressing efficiently.
- Maintain accurate and up-to-date candidate information in Greenhouse.
- Ensure timely movement of candidates through stages and follow up on missing feedback.
- Maintain clean, consistent data to support pipeline visibility and decision-making.
- Create, maintain, and continuously improve recruiting playbooks, templates, and process workflows to ensure consistent execution and scalable team operations.
Interviewer Coordination
- Coordinate interviewer schedules and ensure interviewers have the necessary context and materials.
- Send reminders and follow-ups to ensure timely feedback submission.
- Help maintain the smooth execution of interview loops.
- Identify and address issues that impact the hiring process and candidate coordination.
Offer & Final Stage Support
- Host candidates in-person at the Santa Clara office, creating a welcoming, professional, and memorable experience.
- Ensure a seamless transition from the final interview stage to the offer.
Continuous Improvement
- Partner with Technical Recruiters and the Director of TA to improve coordination workflows, eliminate friction, and innovate how we do things. You turn pain points into opportunities you can execute end-to-end on your own or with the right stakeholders.
- Identify process gaps and proactively propose solutions with clear ownership and follow-through.
- Play a hands-on role by taking on an array of special projects that advance the mission of the BRT Recruiting team, from tools and workflows to rituals and moments that make BRT feel people-centric.
- Support recruiting programs, events, and employer branding initiatives as needed.
REQUIRED EXPERIENCE AND SKILLS
- 1-3 years of recruiting coordination experience at a technology company.
- Exceptional organizational and time management skills with the ability to handle multiple priorities. You juggle multiple calendars, time zones, and stakeholders without breaking a sweat.
- High attention to detail with a process-improvement mindset.
- Outstanding written and verbal communication; candidates and hiring managers alike feel confident in your hands.
- Experience with Greenhouse or a comparable ATS.
- A genuine passion for candidate experience and recruiting. You think about every touchpoint and how to make it better, not just siloed to the coordination function.
- Comfortable being in-person in the Santa Clara office to host candidates as needed.
- Reliable, responsive, and able to operate with a high level of accountability in a fast-paced environment.
PREFERRED EXPERIENCE AND SKILLS
- Experience with ModernLoop or other scheduling automation tools.
- Exposure to employer branding, recruiting events, or candidate experience programs.
- Passion for AgTech, robotics, or sustainability-driven technology.

The US hourly rate for this position is $35/hr - $50/hr (equivalent to an annual salary of $72k/yr to $104k/yr). Standard 40 hours/week, no overtime, and not eligible for employee benefits. Our hourly pay ranges are determined by role, level, and location. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
