Position Title: Maintenance Documentation Specialist
Location: MIDLAND, TX
FLSA Class: Non-Exempt
Responsible To: Midland Shop Manager
Position Summary: This role is responsible for planning, coordinating, and tracking maintenance activities for a fleet of power generation equipment to ensure units remain safe, compliant, reliable, and deployment-ready. It works closely with technicians, Operations, Logistics, Inventory, Engineering, vendors, and customers to manage work orders, parts, schedules, repairs, inspections, testing, and fleet readiness. The role also supports reporting, audits, reliability improvements, cost control, and continuous improvement across maintenance operations.
Essential Duties and Responsibilities:
- Review fleet maintenance management systems and develop work packages for scheduled maintenance, repairs, inspections, load bank testing, and generator deployment readiness activities for a fleet of power generation equipment.
- Coordinate and prioritize maintenance activities based on operational requirements, safety initiatives, service bulletins, reliability trends, and management directives to ensure maximum fleet availability and compliance with company standards.
- Generate, assign, and track work orders while communicating expectations, priorities, and timelines to shop and field technicians.
- Monitor unit status throughout the maintenance process and provide regular updates regarding equipment availability, repair progress, and deployment readiness.
- Coordinate maintenance schedules with Operations, Logistics, Inventory, Engineering, third-party vendors, and customers to minimize downtime and support project timelines.
- Support the planning and scheduling of generator load bank testing, commissioning activities, major repairs, engine replacements, and equipment upgrades.
- Conduct periodic audits of shop and field maintenance activities to verify compliance with safety requirements, quality standards, maintenance procedures, and documentation requirements.
- Coordinate the procurement and delivery of parts, tools, specialty equipment, and vendor services required to complete maintenance and repair activities.
- Maintain accurate maintenance records, including work orders, equipment history, labor utilization, parts consumption, repair costs, and warranty information.
- Work closely with the Inventory Department to monitor parts availability, identify critical spares, maintain proper stock levels, and support inventory accuracy initiatives.
- Track fleet performance metrics, equipment reliability trends, maintenance backlogs, and shop productivity indicators, and prepare reports for Maintenance and Operations leadership.
- Assist with asset staging, fleet readiness programs, and deployment planning to ensure equipment is prepared for customer projects and emergency response requirements.
- Support continuous improvement initiatives focused on safety, efficiency, quality, cost control, and equipment reliability.
Other Requirements:
- Strong organizational, planning, and multitasking abilities in a fast-paced maintenance environment.
- Excellent verbal and written communication skills with the ability to effectively coordinate across multiple departments.
- Working knowledge of power generation equipment, diesel and natural gas engines, maintenance management systems, and shop operations preferred.
- Ability to analyze maintenance data and make informed decisions regarding scheduling, resource allocation, and fleet readiness.
- High level of integrity, accountability, professionalism, and dependability.
- Ability to work independently while fostering collaboration and teamwork across the organization.
- Commitment to safety, operational excellence, and customer satisfaction.
