Occupational Summary
Perform duties in computerized order entry, distribution of all supplies, linen, and equipment, and the shipping/receiving of hospital merchandise. This position is primarily responsible for the procurement of equipment, implants, and surgical instruments for the OR and Surgery Center at Duke Raleigh Hospital. The role ensures optimal inventory management and availability of surgical equipment while maintaining accurate financial records through invoice reconciliation.
Work Performed
- Specialized Procurement: Order equipment, implants, and surgical instruments specifically for the OR, Surgery Center, and Sterile Processing Department (SPD).
- Financial Reconciliation: Reconcile blocked invoices for the hospital by identifying and resolving discrepancies. This includes working closely with Corporate Accounts Payable and Procurement.
- Purchase Order Management: Create "Bill Only" POs for the OR and ensure all instrument orders for SPD are processed accurately.
- Inventory & Distribution: Distribute and restock supplies/linen; use Supply Chain technologies (Pyxis and SAP) to document movement; perform regular cycle counts and monitor expiration dates.
- Shipping & Receiving: Accept and sign for deliveries; inspect shipments and enter Goods Receipts into SAP; report identified shipment discrepancies to management.
- Daily Logistics: Transport shipments from the loading dock to the stockroom and deliver packages to appropriate purchasers. Ensure all STAT orders are completed according to service level agreements.
Knowledge, Skills, and Abilities
- Technical Proficiency: Strong working knowledge of Microsoft Excel, Word, and Outlook is highly preferred.
- System Knowledge: Experience with SAP and SPM is a significant plus; however, these systems can be taught to candidates who possess the core Microsoft Office skills.
- Clinical Familiarity: Experience in OR supplies or Sterile Processing in a hospital setting is strongly preferred to understand the specific needs of the service line.
- Detail Orientation: High level of accuracy required for reconciling invoices and identifying discrepancies.
Qualifications
- Education: HS Diploma/G.E.D. required.
- Experience: At least 1 year of work experience in distribution, warehousing, shipping, receiving, logistics, material handling, or customer service. Experience in a fast-paced healthcare environment is preferred.
- Licensure: Valid Driver's License may be required.
Physical Requirements & Working Conditions
- Mobility: Incumbents are required to walk from the office to the main hospital and Surgery Center approximately 35-40% of the work week.
- Lifting: Must have the ability to exert 20 to 50 pounds of force occasionally, and up to 100 pounds of exertional force daily when pushing/pulling loaded supply carts.
- Environment: Frequent reaching, lifting, stooping, and bending are required in daily duties.
