JOB DESCRIPTION
PRIMARY RESPONSIBILITIES:
- Manage end-to-end administrative support for L&D programs (scheduling, logistics, coordination)
- Set up and manage calendar invites, including tracking attendance and responses
- Coordinate virtual sessions on MS Teams, including launching meetings, screen sharing for facilitators, and setting up polls and interactive tools, providing live session support to ensure smooth delivery (troubleshooting and participant management)
- Support program operations on the mentoring platform (e.g. monitoring progress, responding to queries and aligning and joining the monthly live sessions)
- Act as a program coordinator, liaising with internal stakeholders and external facilitators to ensure alignment on timelines, deliverables, and logistics
- Consolidate and organize materials from multiple contributors into final session decks (formatting and polishing)
- Maintain accurate program documentation and trackers (attendance, feedback, progress)
- Support post-session activities, including sending follow-ups, sharing materials, and collecting feedback from participants across different programs
- Co-facilitate sessions in partnership with the lead facilitator
- Take ownership of facilitating repeatable modules or standardized content over time
- Support the facilitator in adapting the session flow based on participant needs
- Support the creation and refinement of presentation materials by formatting and polishing slides (layout, consistency, visual clarity)
- Review materials for clarity, flow, and visual coherence prior to sessions
- Make updates to slides based on facilitator or stakeholder feedback
