THE ROLE
We are seeking an exceptional Executive Search Coordinator to join Flagship Pioneering's Talent Acquisition team. In this highly visible, on-site role, you will be the face of Flagship's executive recruiting function — orchestrating a seamless, high-touch candidate experience for C-suite and senior leadership searches across Flagship and its portfolio of companies.
The ideal candidate is polished, solutions-oriented, and deeply organized — someone who thinks several steps ahead, anticipates issues before they arise, and brings warmth and professionalism to every interaction. Central to this role is building trusted relationships with executives and their Executive Assistants to protect and negotiate time on behalf of active searches.
KEY RESPONSIBILITIES
Executive Scheduling & Search Execution
- Manage complex, multi-stakeholder interview scheduling for C-suite, Partner, and VP-level searches, coordinating across time zones and portfolio companies with precision and discretion.
- Build and maintain strong, trusted relationships with executives and their Executive Assistants, investing in those relationships to ensure smooth, efficient coordination across all active searches.
- Skillfully negotiate for executive time, working proactively and diplomatically with EAs and Chiefs of Staff to protect calendar windows, resolve conflicts, and keep searches on track without compromising relationships.
- Partner closely with both internal and external Executive Search leads to anticipate needs, solve logistical challenges, and keep searches moving with momentum.
Candidate Experience
- Serve as the primary point of contact and on-site host for executive-level candidates throughout the interview process, delivering a consistently exceptional, personalized experience from first touchpoint through offer.
- Escort, accompany, and coordinate all logistics for executive candidates on-site — navigating campus, managing travel and accommodations, and ensuring candidates feel welcomed and cared for at every moment.
- Manage candidate communications with professionalism and warmth, representing Flagship's brand at the highest standard.
Search Operations & Process Excellence
- Maintain meticulous candidate records and pipeline tracking in Greenhouse, ensuring real-time accuracy across all active searches.
- Proactively identify process improvements and support ad hoc Talent Acquisition projects and cross-functional initiatives as the team and portfolio continue to grow.
- Maintain strict confidentiality across all executive searches and candidate interactions.
PROFESSIONAL EXPERIENCE & QUALIFICATIONS
Experience, Education & Skills
- 3+ years of experience in recruiting coordination, executive search support, or a high-touch client/candidate-facing role.
- Strong proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new tools; experience with Greenhouse or similar ATS preferred.
- Excellent written and verbal communication skills; polished and articulate in all candidate and stakeholder interactions.
- Bachelor's degree required; background in life sciences, business, or a related field a plus.
Scheduling, Negotiation & Execution
- Experience managing high-volume, complex scheduling across multiple executives, time zones, and companies simultaneously — comfortable and confident negotiating for calendar holds, navigating competing priorities, and keeping searches moving forward.
- Exceptional organizational and strategic thinking skills; able to manage competing priorities, anticipate issues, and make sound independent judgment calls in a fast-paced, complex environment.
Relationship Management & Candidate Experience

The salary range for this role is $60,000 - $82,500. Compensation for the role will depend on a number of factors, including a candidate's qualifications, skills, competencies, and experience.
