INTRODUCTION
Support the successful planning, execution, and completion of projects across various departments. Work closely with Pre-Construction, Construction, Real Estate, Finance and Legal teams to ensure tasks are completed accurately, on time, and within scope. This includes recommending process improvements to support all goals and objectives in accordance with the strategic plan. Additional responsibilities include coordinating deliverables with all levels of management, acting as a liaison across functional areas, as well as with General Contractors and vendors to circulate information, providing conflict resolution, and account reconciliation.
ROLE AND RESPONSIBILITIES
- Coordinate project activities within the assigned Regions. This includes organizing and maintaining applicable forms, partnering appropriately in the approval process by identifying and responding to problems.
- Assist in the distribution of project plans, schedules, and budgets.
- Coordinate internal resources and third-party vendors for project execution.
- Track project progress and ensure timely completion of deliverables.
- Identify potential risks or issues and escalate them as needed.
- Partner with Administrative Project Supervisor to maintain comprehensive project documentation and ensure all files are up to date and in accordance with all applicable laws and regulations.
- Help enforce project standards and best practices.
- Assist in the submittal of contracts, amendments, change orders, design exchanges and purchase orders.
- Organize and maintain project files, contracts, permits, insurance certificates, and compliance documentation for project closeout.
- Support budget tracking by compiling costs, invoices, and purchase orders; assist with billing and draw requests.
- Partner with Administrative Project Supervisor to develop, implement and modify process and procedure documentation according to evolving needs across functional areas.
- Maintain daily communication with the General Contractors and vendors to facilitate timely completion of new projects.
- Partner with Administrative Project Supervisor to proactively identify potential delays and escalate issues to the appropriate parties.
- Serve as a resource to other cross functional areas and provide appropriate solutions by coordinating with the regional development teams.
BASIC QUALIFICATIONS
- Typically requires a high school diploma and 2-4 years of experience or Bachelor’s degree and 0-2 years of experience.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, SharePoint, Teams); experience with Adobe software is a plus.
- Excellent organizational skills and attention to detail with ability to manage multiple priorities and deadlines.
- Strong verbal and written communication skills.
- Team-oriented with a proactive and flexible mindset.
- Ability to read basic construction documents (plans and specs) is a plus.
