INTRODUCTION
The PBM Proposal Writer II - ClearScript is responsible for managing, writing, and editing Request for Proposal responses and communications to deliver a finished product that supports ClearScript's strategic efforts to grow and retain key PBM clients. Manage all proposal projects from start to finish, collaborating closely with Sales, Account Management, Clinical, Operations, Compliance, and other subject matter experts to develop accurate, compelling, and compliant responses. Also responsible for maintaining and enhancing the proposal content database by incorporating new products, programs, services, and approved response content to ensure consistent, competitive, and timely submissions. As a member of the proposal team, this individual helps communicate the value of ClearScript's solutions and services while contributing to continuous improvement of proposal processes, content management, and business development efforts. Because proposal activity can fluctuate throughout the year, this position is also expected to provide cross-functional support during periods of lower proposal volume. Responsibilities may include operational, administrative, documentation, research, process improvement, and special project work that supports organizational priorities. The ideal candidate is a highly adaptable, detail-oriented professional with strong project management, communication, and demonstration of basic AI prompting skills who can effectively contribute across multiple business functions while maintaining a high standard of quality and service.
Responsibilities
Proposal and RFP Support Primary Responsibilities
- Serves as the primary proposal writer and project manager for assigned proposals, ensuring best-in-class and timely responses.
- Manages competing priorities and multiple proposal deadlines simultaneously while maintaining exceptional attention to detail, responsiveness, and quality standards.
- Coordinates, writes, edits, proofreads, and tailors proposal responses to support the identified client-specific requirements, sales strategy, underscore the strengths of ClearScript’s products and services, and ensure proposals are properly delivered in a timely manner.
- Reviews and interprets key proposal requirements to identify issues or concerns requiring review and facilitates resolution with stakeholders prior to submission.
- Facilitates meetings and collaborates with subject matter experts, business partners, and stakeholders to obtain complete, quality, and timely responses to all questions.
- Continuously expands knowledge of ClearScript’s programs and services that are represented in proposals, and the overall PBM industry.
- Design, format, and package professional, client-ready proposal documents, flowcharts, organizational charts, supporting materials, and other proposal related projects that effectively communicate the ClearScript brand and create a polished, visually compelling presentation.
- Manage and maintain the ClearScript proposal response database and proposal management system, ensuring all proposal responses, supporting documents, charts, graphics, and related content are accurate, current, complete, and readily accessible for proposal development and submission activities.
- Responsible for applying feedback received from all submitted proposals, whether successful or not, to make changes necessary to ensure competitiveness of the ClearScript proposal answers and overall offering.
- Responsible for researching and obtaining competitive industry proposal response information and offerings and sharing that knowledge with the ClearScript Development team, and to assist in the decision process in how to most effectively apply that knowledge to the proposal database in order to best position ClearScript for future competitive proposal responses.
Cross-Functional Support Responsibilities During Lower Proposal Volume
During periods of reduced proposal activity, the Proposal Writer will support business operations and other departments through a variety of administrative, analytical, and project-based activities, which may include:
- Assisting with document review, editing, proofreading, and quality assurance activities.
- Supporting account management teams with renewal communications.
- Performing data entry, data validation, and information management tasks.
- Researching industry, market, competitor, and PBM-related trends.
- Supporting implementation, operations, or clinical teams with documentation and project coordination needs.
- Participating in process improvement initiatives and special projects.
- Providing administrative and project support across departments, as assigned.
BASIC QUALIFICATIONS
- B.S./B.A. Bachelor's Degree in Journalism, English, Communications, or business related-field or equivalent experience
- 3 years Proposal writing experience in healthcare arena
- Excellent oral and written communication skills, organizational skills, and presentation skills, with the ability to communicate effectively with stakeholders at all levels.
- Experience serving as the primary writer and project manager for RFPs, RFIs, questionnaires, and finalist presentations.
- Demonstrated success in independently managing multiple complex projects simultaneously without compromising quality.
- Advanced document design, formatting, and visual communication skills, including the ability to create polished, professional, client-ready proposal responses and presentations that align with corporate branding standards.
- Proven ability to be a team player, and manage multiple priorities in a fast-paced, growing environment.
- Proven self-starter with maturity, poise, and calm under pressure and creative approaches to problem solving.
- Strong proofreading, editing, and document formatting abilities.
- Advanced proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, Teams, and SharePoint.
- Strong understanding of proposal tools, content systems, and governance; ability to improve usability and adoption.
- Ability to leverage approved AI tools and analytics to improve efficiency and response quality.
- Strong attention to detail and ability to problem-solve effectively. Strong interpersonal skills with demonstrated excellence in customer service.
