Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. As an Office Manager, you will coordinate administrative tasks, support staff, manage office supplies, and serve as the primary point of contact for internal and external stakeholders. Responsibilities
- Manage day-to-day office operations, including overseeing administrative procedures and ensuring efficiency.
- Coordinate calendar management, meetings, and appointments for staff and leadership teams.
- Maintain organized filing systems, both digital and physical, ensuring easy access to documents and records.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, providing excellent customer support.
- Utilize productivity software such as Microsoft Office (Word, Excel, PowerPoint) and spreadsheets to prepare reports, presentations, and correspondence.
- Perform data entry tasks accurately while maintaining high levels of attention to detail.
- Oversee office supply inventory, placing orders as needed to ensure continuous availability of essentials.
- Support client communication efforts by managing correspondence and facilitating effective communication channels.
- Assist with technical proficiency in office equipment, including printers, scanners, and computer systems.
- Provide clerical support such as typing documents, filing records, and managing email correspondence.
- Implement efficient organizational strategies to enhance overall productivity and workflow within the office environment.
Experience
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Demonstrated proficiency with Microsoft Office suite including Word processing, spreadsheets, and presentation software.
- Familiarity with QuickBooks or similar accounting software is advantageous for handling basic financial tasks.
- Experience managing multi-line phone systems and providing professional phone etiquette is essential.
- Bilingual skills are preferred to effectively communicate with diverse clients and team members.
- Prior experience in front desk operations or personal assistant roles will be considered a plus.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
