Job Purpose:
The Client Onboarding Specialist leads new retirement plan onboarding and supports compliance tasks, serving as a primary client-facing contact. The ideal candidate is highly analytical, personable, and entrepreneurial —capable of building and maintaining their own processes and tools. This role requires deep expertise in retirement plan compliance and legal requirements, strong communication and organizational skills, and the ability to stay current on legislative and regulatory changes.
Key Responsibilities:
- Manage all aspects of the onboarding process and successful transition of new retirement plans to the platform.
- Coordinate with Financial Advisors, Plan Sponsors, prior recordkeepers, and Third Party Administrators to
establish conversion timelines, key action items, and delivery dates; communicate project status to internal
and external stakeholders.
- Collaborate cross-functionally to ensure the team delivers against Service Level Agreements.
- Mentor and support junior team members.
- Manage deadlines and caseload effectively to meet or exceed departmental service goals and partner-specific
service levels for quality and timeliness.
- Respond to internal and external customer inquiries via phone and written correspondence.
- Develop familiarity with various Plan Document types; learn to amend, restate, and prepare client notices.
Required Qualification
- Bachelor's degree or equivalent work experience.
- Proficiency in Microsoft Office applications, including Excel, PowerPoint, and Word.
- Demonstrated aptitude for rapid learning, creating, and iterating.
- High attention to detail, strong analytical thinking, and excellent organizational skills.
- Proven track record of sound judgment and proactive problem-solving.
Preferred experience:
- Minimum of 2 years of experience in the retirement plan industry.
- General knowledge of ERISA rules and requirements, including non-ERISA and governmental plan rules;
experience with compliance/recordkeeping systems (e.g., SunGard Relius, ASC, FIS).
- Qualified 401(k) Administrator (QKA) credential or higher ASPPA designation.
- Subject matter knowledge of retirement plan design and conversion processes from point of sale through
release of conversion data.
- Experience with retirement plan documents (FIS and ASCi).
- Computer literacy with recordkeeping and trust systems (FIS Relius); experience with plan reconciliations.
- Working knowledge of ERISA, DOL, and IRS regulations; familiarity with individually designed and prototype
plan documents.
- Working knowledge of non-ERISA/governmental plans is a plus.
