ROLE AND RESPONSIBILITIES
The Executive Assistant & Office Experience Manager plays a critical role in supporting our management team, keeping day-to-day operations running smoothly, and shaping an office environment that’s efficient, organized, and energizing. This role is ideal for someone with a true “get stuff done” mindset - a highly organized, proactive partner who operates with discretion, anticipates needs before they arise, and takes pride in creating an exceptional experience for the people around them. Responsibilities
Executive Team Support
- Provide high-level administrative support to our executive team, including calendar management support, booking travel arrangements, and expense reporting.
- Act as the point of contact between executives and internal/external stakeholders.
- Oversee board communication, including scheduling meetings, preparing board materials, and ensuring timely follow-ups on action items.
- Prepare and edit documents, presentations, and reports in partnership with the executive team to drive key projects.
- Assist with special projects, company initiatives, and cross-functional team coordination.
- Organize and attend meetings, ensuring accurate minutes and follow-ups.
- Manage confidential and sensitive information with discretion.
Office Experience Management
- Oversee the day-to-day operations of the headquarters, ensuring that our office is a productive, engaging, and fun yet professional, working environment.
- Manage office supply inventory, equipment, and vendor relationships.
- Coordinate office events, team meetings, and executive offsites.
- Take a proactive approach to ensure that our office is well-maintained and address any areas for improvement and efficiency.
- Collect regular feedback from team members to ensure that daily needs in the office are being considered.
BASIC QUALIFICATIONS
- 0-5+ years of experience in executive support, office management, or a similar role in a fast-paced environment.
- Proactive with a problem-solving mindset to “get stuff done”.
- High energy and approachable personality with the ability to communicate well with all levels of the organization.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in Google Workspace, AI, and project management tools.
- High level of discretion, professionalism, and problem-solving ability.
- Ability to work independently and adapt to a dynamic work environment.
