INTRODUCTION
We are seeking a Global Real Estate Operations Manager to oversee lease administration, compliance, and landlord coordination across our Americas portfolio (U.S., Canada, and South America). This role is responsible for ensuring operational discipline across the lease lifecycle while building scalable processes that will support future global expansion (EMEA and APAC).

The role requires strong judgment, organization, and the ability to manage multiple priorities across regions and stakeholders.
HOW YOU WILL MAKE A DIFFERENCE:
Lease Administration & Portfolio Management
- Manage the full lease lifecycle, including renewals, terminations, amendments, and critical date tracking
- Maintain accurate lease records, abstracts, and documentation across all markets
- Own LeaseQuery administration, including data integrity, reporting, and reconciliations
- Develop dashboards, trackers, and calendars to improve portfolio visibility and planning
- Identify upcoming lease events and support decision-making around timing, cost, and occupancy
Landlord & Lease Communications
- Serve as the primary point of contact for landlords and property representatives
- Manage lease communications, notices, and required reporting
- Track and deliver all lease-related obligations, including sales reports
- Escalate issues as needed and partner cross-functionally to resolve
Portfolio Optimization & Compliance
- Coordinate subleasing efforts and manage subtenant relationships
- Identify opportunities to optimize underutilized space and improve portfolio efficiency
- Oversee business licenses, COIs, and lease compliance requirements
- Maintain audit-ready documentation and monitor for risks or process gaps
Projects & Cross-Functional Support
- Support real estate projects including relocations, lease transitions, and portfolio changes
- Partner with Workplace Operations, Finance, Legal, and external vendors
- Contribute to scalable processes, tools, and templates for global portfolio management
- Support reporting, analysis, and leadership presentations
WHAT YOU NEED TO WIN:
- Bachelor’s degree in Business, Real Estate, Facilities, Finance, or a related field, or equivalent practical experience
- Minimum of 5 years of relevant experience in real estate operations, lease administration, portfolio management, or property management
- Strong understanding of commercial leases and lease lifecycle management
- Experience with lease management platforms (LeaseQuery or similar)
- Highly organized with strong attention to detail and follow-through
- Ability to manage multiple priorities across regions and stakeholders
- Clear, professional communication skills
- Proficiency in Microsoft Office tools (Excel, PowerPoint, etc.)
Preferred
- Experience with multi-region portfolios
- Familiarity with CAFM or workplace systems
- Exposure to lease accounting or financial reporting support
- Industry certifications (IFMA, CoreNet) a plus

Pay
Below is a summary of compensation elements for this role at the company if based in the following locations:
California Base Pay Range: $85,000 - 118,000
At Specialized, your base pay is one part of your total compensation package and will depend on your work experience, skills, certification, and location.

- Morgan Hill, CA (Office) in office 4 days per week
