REPORTS TO: Regional Operations Directors
Job Description: This position provides a variety of comprehensive administrative and support duties to Regional Operations Directors and requires a diverse range of skills and thorough knowledge of organizational policies and procedures.
- Provide administrative support for Regional Operations Directors
- Compose and edit correspondence and memos from dictation, written, and verbal direction
- Manage confidential and non-routine information with absolute confidentiality
- Prepare, transcribe, compose, type, edit and distribute agendas and minutes of meetings as needed or requested
- Review electronic & written correspondence to determine level of priority, and process accordingly
- Coordinate RODs electronic calendar and facilitate regional, divisional or team meetings
- Coordinate team and Director travel, as requested
- Reconcile and track expense reports to ensure accuracy of all account codes for correct payment of expenses
- Create and/or assist presentations as requested
- Act as facility and customer liaison for RODs, fielding calls and responding to needs within scope of assigned responsibilities
- Coordinate and arrange conference calls and gather data as requested
- Prepare, analyze, and/or assist with the preparation of scheduled and ad hoc statistical and narrative reports; perform basic information gathering and analysis as directed and in accordance with pre-established procedures or guidance
- Respond confidently, courteously, knowledgeably, and professionally to internal and external phone calls and office visits including company leadership, senior managers, teammates, and customers, exhibiting a “can do” customer service attitude
- Schedule, coordinate, and facilitate meetings, events, training sessions, interviews, and appointments
- Establish, maintain, and update files, databases, records and other documents
- Proactively monitor and request office supplies and equipment needs
- Prepare weekly and monthly divisional metric reports; gather data as needed
- Obtain and track monthly invoices
- Coordinate the collection of and report information requests from the corporate office
- Other duties as assigned including but not limited to:
- Attend education activities, in-services, and team meetings
- Coordinate and oversee regional/divisional special projects and programs as needed
- Understand and comply with DaVita policies and procedures (including DaVita employment policies and procedures) as well as all state and federal regulations for patient care and services (CMS, HIPPA, OSHA, or other governing agencies including but not limited to Joint Commission)
- Comply with state or federal regulations of the Injury Prevention and Safety Training Program
- Able to work overtime with little or no notice
- Consistent, regular, punctual attendance as scheduled is an essential responsibility of this position
- Travel required: 10%-30%
MINIMUM QUALIFICATIONS
- High school diploma or equivalent required
- Associate’s or Bachelor’s degree and professional secretarial certification preferred
- Minimum of three (3) years’ experience as project coordinator/manager, administrative or executive assistant required
- Minimum typing speed of 60 wpm strongly preferred
- Experience with billing or revenue cycle management preferred
- Intermediate computer skills and proficiency in MS Word, Excel, PowerPoint, and Outlook required
- Exceptional time management, project management and project coordination experience
- Demonstrated expertise in attention to detail, prioritization, and organization
