Overview:
This position reports directly to the Manager, Supply Operations. Collaborates and works with all responsible managers within UF Health Durbin Park to ensure successful program execution. This position is responsible for the overall planning and execution of the Automated Supply Station Program within UF Health. This will include the metrics, budgeting, training, monitoring and successful implementation of all Automated Supply Stations. Employee must have a clear understanding of systems functionality and/or departmental processes as they relate to the supported system/application. Strong analytical, organizational and communication skills are required for interpreting and distributing documentation related to systems/application functionality, upgrades and enhancements. Must be able to work both independently and as a team member in a solution-oriented and customer-focused environment.
Responsibilities:

Coordinates the Automated Supply Stations from installation which includes building, loading, and labeling of all work stations in an efficient manner which includes system training. Maintains Monthly Invoice Reconciliation and monitoring of agreement at all times. Maintains schedules at all times with all “Active” Serial Numbers along with current locations of all equipment. Tracks and provides updated information as to adherence to program budget. Work with users and vendors regarding project planning and solution identification. (30%)

Benchmark stock-outs, monitor the Stock Out Summary reports, determines the cause of the stock-outs and implements procedure to reduce/eliminate stock outs. Develops and monitors program budgets and productivity measures, supplier contract compliance and cost containment initiatives. Must research and utilize benchmark data to maximize efficiency. Provides consultation, direction and education related to assigned computerized documentation with nursing staff and other health care providers. (30%)

Ensures the integrity of data exchange regarding Supply Chain Services System, EPIC, Revenue Integrity, Patient Billing and any other information system reports for quality monitoring and regular audit. Documents supply expense and revenue opportunities in each area; trend month-to-month and year-to-year. Facilitates and/or participates in intra and inter department forums, committees and groups that impact clinical documentation regarding the involvement of the Program Analyst role and responsibilities. (15%)

Obtains and tracks data in order to identify discrepancies regarding “Loss Charges Per Unit” and report on a monthly basis. Works closely with all nursing units to acquire a good working relationship at all times. Works closely with staff, regarding all system upgrades, interfaces and conversions so that a smooth and efficient process is maintained at all times. (15%)

Develops and implements an inventory schedule/system for all Supply Stations and coordinates compliance with appropriate management and attend meetings as necessary to support the automation process. Add and delete items based on utilization needs. User maintenance necessary at all times in order to keep data current. (10%)

Insures adequate user training working in coordination with Nursing and Hospital training/education departments.

Notifies Supplier of any upcoming ADT/Interface software changes, nursing location moves, etc.

Performs all other duties as assigned by management within job scope.

Some travel required for participating in system level meetings and for training.

Attends meetings and participates on committees as necessary.
Education
- Associate's degree. Four (4) years of relevant experience will be accepted in lieu of degree.

- 3-5 years - Automated Systems and Inventory Management

- At least one (1) year of office experience and/or healthcare industry experience preferred
