Duties & Responsibilities:

Oversees, monitors and coordinates day-to-day HR services and transactions ensuring compliance with university policies, procedures, regulations, and standards of practice; processes all HR related transactions utilizing university systems, e.g. Banner, HR Front End, Cornerstone, JDXpert, ANA, BANNER, PARIS, Rehire Retiree, Salary Planner, I9 Tracker, etc.

Confers with and assists hiring units with recruitment requests for all employee classes; coordinates and manages the full cycle of recruitment processes including, but not limited to, drafting job descriptions, advertisements, reviewing applicant qualifications, interview scheduling, reference checks, and extending offers; completes other supporting documents for reappointments, summer salary, and change in status' (i.e. FTE changes, Title/Employee Group changes, Salary Increases, etc.); performs onboarding meetings with new hires and exit interviews with separating employees; ensures all departmental, campus, and unit new hire onboarding requirements are met (mandatory clearances, orientations, compliance trainings, etc.) for all employee classes, e.g. faculty, academic professionals, civil service, post-doctoral associates, fellows, etc.

Responsible for payroll functions such as payroll adjustments including overpayments, award payments, leave balance adjustments.

Works in collaboration with the Office of International Services; coordinates visa and immigration processes in collaboration with the UIC Office of International Services (OIS) for international faculty, staff, graduate students and visiting scholars (eg. H1-B, J-1B-1 visitors and other employment based immigrant petitions)

Manages employee leave data and provides ad hoc employee reports as needed; Acts as a GoTime liaison; records balance/accrual/usage in BANNER as appropriate; reviews, approves, and processes leave of absence requests (FMLA, Personal Leaves, etc); serves as a liaison and resource for all employee leaves of absence such as the Family Medical Leave Act (FMLA)

Actively monitors employee compliance with state, university and department requirements including, but not limited to training (HIPAA, Ethics, Title IX, ANCRA etc), Conflict of Commitment & Interest (COI) compliance and various reporting functions.

Advises and counsels managers and employees in employee relations issues including, but not limited to, coaching and counseling, grievance handling, performance evaluations, and standards of conduct.

Completes record management functions including maintenance, retention, transfer, and disposition of personnel records and files to ensure compliance with regulatory guidelines.

Perform other related duties and participate in special projects as assigned.
Minimum Qualifications Required:

Bachelor’s degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.

Two (2) years (24 months) of work experience performing professional-level human resources duties.
