Job Description:
The Marketing Coordinator supports the Portfolio Success Team by coordinating marketing requests, managing project workflows, auditing and updating program information, and assisting with event execution across Continuing Education, Online Degrees, and Events & Outreach. This role ensures work is properly submitted, tracked, and completed across internal marketing teams, helping maintain timelines, reduce delays, and support a growing portfolio of programs across seven campuses.
Job Responsibilities:
Project Coordination & Request Management: 30%
- Enter, review, and manage marketing requests within project management systems (ASANA)
- Ensure all requests are complete and aligned before routing to internal teams (Content, Creative, Web, Digital, Social)
- Track project progress and follow up with internal teams to keep deliverables on schedule
- Maintain visibility on deadlines and flag upcoming needs to Portfolio Team
- Assist with task setup for campaigns, catalogs, content, and creative deliverables
Program Support & Web Coordination: 20%
- Audit program webpages to ensure accuracy of admissions, curriculum, deadlines, and key information
- Submit and track updates for program pages, including course listings, application details, and content updates
- Coordinate WebDev-related tasks and follow-ups to ensure updates are completed
- Support program launches by coordinating timelines, deliverables, and updates across teams
Administrative & Team Support: 20%
- Assist with meeting notes, follow-ups, and tracking action items
- Support stakeholder communications, including status updates and responses
- Help maintain organization across platforms (Basecamp, CRM, Asana)
- Provide coverage support for Marketing Managers during out-of-office periods
- Travel to campuses and events as needed
Event & Outreach Coordination: 15%
- Support planning and execution of virtual and in-person events across CE and degree programs
- Manage event logistics including registration setup, materials coordination, and communications
- Track event calendars, staffing needs, and scheduling
- Coordinate event materials, including inventory tracking, packing, shipping, and distribution
- Assist with on-site execution (setup, check-in, breakdown, staffing) and travel as needed
- Support post-event reporting, including attendance tracking and lead list organization
Marketing & Vendor Coordination: 10%
- Coordinate external vendor deliverables, including timelines, specs, and asset submissions
- Assist with third-party partner coordination (e.g., content reviews, approvals, updates)
- Track deliverables and ensure deadlines are met across campaigns and placements
- Route and track invoices and assist with payment follow-ups
Other duties as assigned: 5%
Minimum Qualifications:
Bachelor's degree in Mass Communications, Marketing, Communications, or related field with 2 years of experience
Specific Experience:
- Strong organizational and project management skills
- Excellent communication and follow-up skills
- Experience working with CMS and project management tools preferred
- Detail-oriented with strong focus on accuracy and consistency
- Experience with event coordination
- Experience with marketing plans and ad placement/coordination

Additional Requirements:
