INTRODUCTION
The Compliance Specialist provides support to the Director of Compliance and is a visible representative of the Compliance Department. The Compliance Specialist conducts research, investigations, and audits at the direction of the Director of Compliance. An understanding of the Seven Elements of an effective Compliance Program is important, as all activity is to facilitate adherence and enhancement of the Compliance Program. The Compliance Specialist acts as the administrator for the compliance software, learning management system, and policy software.
CORE RESPONSIBILITIES:
- Provides high level of customer service, professionalism and confidentiality representing the Compliance department at InterMed.
- Demonstrates a deep knowledge and understanding of patient privacy rights under HIPAA guidelines.
- Maintains confidentiality related to legal, financial, or other sensitive materials and information in printed, electronic or verbal form.
- Accesses and uses the minimum necessary patient identifiable information to perform job responsibilities and duties and only for authorized purposes.
- Manages the Policy Database and assists with Compliance Policy updates.
- Manages the learning management system, administers Compliance training, and assists with uploading and deploying training modules.
- Monitors the Incident Database for Privacy incidents daily. Communicates with managers and coordinators regarding privacy incidents and complaints as needed.
- Collaborates with Business Intelligence resources to leverage available patient data for compliance initiatives.
- At the direction of the Director of Compliance, may contact patients regarding escalated privacy complaints, and assists with investigations.
- Prepares statistical and qualitative reports or compliance trends, and assists with creating dashboard reports of Compliance activity.
- Provides education to support the use of the policy management platform, maintains Compliance policies and documents.

- Investigates and responds to reports of potential colleague HIPAA violations.
- Prepares Breach notification letters.
- Works with Director of Compliance to ensure organization compliance with new laws/regulations.
- Assists the Director of Compliance with maintaining the Corporate Compliance Plan and helps ensure the organization stays in compliance with policies and procedures outlined in the plan.
- Demonstrates ongoing vigilance around potential areas of organizational risk, identifies and communicates these potential risks to the Director of Compliance.
- Participates in Lean Six Sigma initiatives, including presenting Compliance data during Gemba walks.
- Creating, and administering Compliance training at New Employee Orientation, and ad hoc as needed when regulations change, or new trainings are required.
- Responds to legal and auditing record requests as needed.
- Maintains strict confidentiality in alignment with HIPAA (Health Insurance Portability and Accountability) guidelines and InterMed policies.
- Perform other duties to support the mission, vision and values of InterMed.

KNOWLEDGE, SKILLS, AND ABILITIES:
Education:
- Bachelor’s degree required.
License/Certifications:
- HCCA CHPC or CHC certification strongly preferred.
Experience:
- Previous experience in Compliance or the healthcare industry.
- Knowledge of HIPAA privacy and security is required.
- Strong professional communication skills, including active listening and effective verbal and written communication, with the demonstrated ability to collaborate and communicate effectively with colleagues at all levels across the organization.
- Ability to prioritize, organize, and plan work independently.
- Strong computer proficiency, including Microsoft Word, Excel, and PowerPoint, with experience using electronic health record (EHR) systems strongly preferred.
- Ability to extract, categorize and analyze data from the electronic health record.
